We are seeking a dedicated Compliance Coordinator Transport to oversee and ensure adherence to regulatory standards within our operations. The Compliance Coordinator is responsible for monitoring, maintaining, and improving compliance across the company’s Compaction Services, Machinery & Plant Operations, and Transport departments. The role ensures adherence to legal, regulatory, environmental, and corporate compliance standards, including ISO requirements and contract tendering documentation. This position supports audit readiness, cost control, safety performance, and continuous improvement across all operational areas.
Responsibilities- Facility & Site Compliance
- Maintain site permits, waste licences, and environmental compliance records.
- Conduct regular MRF (Materials Recovery Facility) checks and site walk‐round inspections.
- Support accident and incident reporting, investigation, and documentation.
- Track corrective actions and ensure timely closure.
- Ensure compliance boards, signage, and safety notices are up to date.
- Machinery & Plant Compliance
- Monitor LOLER schedules and ensure all lifting equipment is inspected on time.
- Track and verify pre‐use checks for all machinery and plant.
- Maintain repair logs and ensure defects are actioned promptly.
- Support Planned Preventative Maintenance (PPM) scheduling and documentation.
- Maintain site machinery permits and ensure operational compliance.
- Monitor cost control relating to machinery repairs, downtime, and maintenance.
- Transport Compliance
- Maintain vehicle compliance files and ensure documentation is complete and audit‐ready.
- Track PMIs, MOTs, tachograph calibrations, and LOLERs for all vehicles.
- Monitor defect sheets and ensure defects are logged and escalated.
- Conduct eyesight checks and driver licence checks.
- Monitor tachograph infringements, RTD compliance, and EU Drivers’ Hours rules.
- Download and store VU and driver card data in accordance with legal requirements.
- Maintain operator licence administration.
- Corporate Compliance (ISO & Contract Tendering)
- Support the implementation and maintenance of ISO standards (e.g., ISO 9001).
- Maintain ISO documentation, evidence logs, and audit trails.
- Conduct internal compliance checks aligned with ISO requirements.
- Assist in preparing documentation for external ISO audits.
- Support internal audits and prepare documentation for external inspections.
- Maintain and update compliance documentation required for contract tender submissions.
- Ensure all tender documents meet regulatory, environmental, and quality standards.
- Track and update corporate compliance registers, policies, and procedures.
- Support the collation of performance data required for tender applications.
- Reporting & Data Management
- Produce compliance reports including MPG, AdBlue usage, vehicle availability, and downtime.
- Provide KPI dashboards for safety and operational compliance to management.
- Track training records, toolbox talks, and compliance‐related staff development.
- Support FORS compliance by maintaining evidence, training logs, and audit documentation.
- Prepare data for government surveys and regulatory submissions.
- Maintain accurate records for accidents, incidents, near misses, and investigations.
- Administrative Support Duties
- Assist with invoice queries relating to compliance or maintenance.
- Maintain employee compliance files and transfer relevant documents to HR.
- Support continuous improvement initiatives to reduce costs and improve compliance performance.
- Essential Criteria:
- Experience in compliance, auditing, or safety administration (preferably in waste, transport, or industrial sectors).
- Understanding of compliance requirements (LOLER, PUWER, WTD, EU Drivers’ Hours, environmental permits).
- Strong organisational and record‐keeping skills.
- Excellent attention to detail and accuracy.
- Ability to analyse data and produce clear reports.
- Competent IT skills, including Excel and compliance systems.
- Strong communication skills with the ability to challenge and influence.
- Ability to work independently and manage multiple priorities.
- Desirable Criteria:
- Experience in waste management, recycling, or transport compliance.
- Knowledge of FORS standards and audit requirements.
- Experience preparing documentation for contract tenders.
- Experience with tachograph analysis software.
- Experience supporting ISO audits or regulatory inspections.
