ROLE AND RESPONSIBILITIES

OVERALL ROLE

Working within a team to ensure delivery of the day-to-day Portfolio Maintenance activities for the UK, and support the UK Portfolio Maintenance Leads by being a point of contact for key stakeholders and/or client in relation to Portfolio Maintenance requests. The role will have responsibility for ensuring all Portfolio Maintenance activities are scheduled and delivered as per program and within budget. The role will focus on ensuring that each work stream is scheduled, planned and delivered on time and that the activity is delivered at its best possible level of cost and operating efficiency. They will help the team provide highly responsive and proactive management services, with particular emphasis on mechanical and electrical systems integrity and performance.

Key Tasks

  • Responsible for a diverse portfolio delivering Portfolio Maintenance project requests with primary focus on mechanical & electrical systems, complemented by building fabric project requests.
  • Coordinate with Workplace, Experience & Operations (WE&O) teams to ensure M&E maintenance activities align with capital improvement programs and system lifecycle planning.
  • Preparation of request for quotations, presentation and business case submission to the client, and management of works from conception to completion.
  • Respond to reactive issues raised which falls outside of the WE&O remit.
  • Support WEO Managers with Portfolio Maintenance delivery.
  • Delivery and management of the clients Portfolio Maintenance - CAPEX expenditure.
  • Provide assurance and compliance with internal and external audits.

MAJOR RESPONSIBILITIES

  • Client/Stakeholder Management
    • Proactively engage stakeholders to ensure Portfolio Maintenance project requests are delivered successfully within budget and on time.
    • Build and develop effective client / stakeholder relationships across multiple levels of the organisation.
    • Be a contact for delivery of Portfolio Maintenance project requests – providing regular updates on progress at scheduled meetings.
  • Procurement & Vendor Management
    • Ensure vendors are well-managed, delivering services on time and within budget.
    • Ensure that vendor procurement processes comply with agreed client procurement guidelines as well as Jones Lang LaSalle best practice.
  • Contracts Management
    • Assisting in managing all contracts to ensure that they are professionally delivered at the right costs.
    • Ensure expiry of contracts are well-monitored and re-procurement is initiated if needed.
    • Ensure contracts are continually assessed to deliver best value to the client.
  • Finance Management / Cost Control / Profitability
    • Actively work to ensure that the site’s financial operations are meeting or exceeding targets and control requirements including the Jones Lang LaSalle Code of Ethics.
    • Ensure financial processes are followed at all times.
  • Health & Safety Management
    • Ensure the provision of a safe working environment.
    • Ensure compliance with statutory regulations on fire, health and safety standards.
  • Site Operations Management
    • Recommend continuous quality improvement practices and implement Industry Best Practice operations.
    • Implement Portfolio Maintenance procedures and performance measures and ensure they are maintained at all times.
    • Ensure all Critical Environment (CEM) requirements are met.
  • Risk Management
    • Ensure subcontractors and/or vendors work to Risk Assessments and Method Statements and Construction Phase Plans.
    • Ensure contingency plans are in place for all work activities.
    • Ensure escalation procedures and incident reporting procedures are implemented and in place.
    • Assist in the development of guidelines and strategies to ensure compliance with Jones Lang LaSalle’s business conduct.
  • Achieve Key Performance Indicators and Service Level Agreements.

CANDIDATE SPECIFICATION: KEY SELECTION CRITERIA

Ideal Experience

  • Degree in mechanical or electrical engineering, building services engineering, building surveying or project management, with a minimum of 3 years post degree working experience in either a consulting or contracting organisation specialising in building services or M&E projects.
  • Professional Qualification of recognised body e.g. AssocRICS / MRICS (or evidence actively working towards APC), APMP or PRINCE2.
  • Has experience working in the Financial Services/Banking environment.
  • Experience of delivering both mechanical & electrical projects (primary focus) and fabric type projects, with demonstrated understanding of M&E system integration.
  • Excellent people skills and ability to interact with a wide range of client staff and demands.
  • Knowledge of Occupational Safety requirements.
  • Strong PC literacy and proven ability to manage daily activities using various systems.
  • Knowledge of vendor management for specialised services.
  • Knowledge of critical facilities and strong technical understanding of property systems (Computer Room Air-conditioning, Chiller system, Fire Protection system, Mechanical & Electrical system, BMS system, UPS systems, power distribution, HVAC controls, and emergency backup systems).
  • Understanding of M&E system lifecycle planning, preventive maintenance programs, and asset replacement strategies.
  • Familiarity with M&E commissioning processes, testing protocols, and handover procedures.
  • Proven capacity to understand and interpret commercial contracts.
  • Budget management and financial analysis skills.

Critical Competencies for Success

  • The successful candidate will have a proven track record of delivering a large volume of project requests particularly in mechanical and electrical systems and management of all aspects of the commercial contractual requirements from inception to financial close. Experience of delivering M&E projects ideally within a financial services environment or building services consultancy background.
  • They must be fully conversant with all applicable legislation, regulations and standards.
  • Experienced in the use of Excel, Word, PowerPoint, Microsoft project desirable.
