What this job involves: To provide administrative and front of house support duties in accordance with company policies & procedures, and in keeping with Account Management requirements. Assist in the achievement of the Key Performance Indicators and operational targets for the site and perform duties with integrity & diligence in a professional manner.
What your day-to-day will look like:
- Receive, inform, and guide visitors including co-ordination with Gartner employees.
- Coordinate and distribute refreshments where applicable.
- Acts collaboratively to solve problems and resolve spontaneous and unique situations with professionalism and service orientation in supervised area.
- Demonstrate leadership, responsiveness and creativity in finding solutions for service delivery within managed area.
- Ensures delivery of committed services and overall satisfaction with Jones Lang LaSalle performance.
- Ensure appropriate follow-up with customers.
- Read and understand the applicable Service Level Agreements, help achieve the Key Performance Indicators and scores favorably on the Gartner satisfaction surveys.
- Maintain conference room booking schedules to maximize efficient use of space, using initiative to assist associates the best we can to accommodate all meeting room requests.
- Responsible for maintaining all contacts list including 3rd party service providers / contractors.
- Responsible for management, maintenance, and upkeep of the office and reception areas ensuring it is always presentable.
- Aid in general administrative activities and any other duties as assigned by Senior Facilities Management team including travel requests & booking arrangements.
- Assist in mailroom and associated functions including assistance to mail service and couriers.
- Participate as a key team member in responses to emergency situations.
- Assist with arranging of “cover” during periods of annual leave.
- Coordinate and assist Gartner with local office events.
- Assist in performing other duties.
- Carry out Site Inspections.
- Covering the Egham site during holiday & sick leave.
- Carrying out room set-ups to large conference rooms.
Skills/Qualifications:
- Sound inter-personal / communications skills.
- Need to be a team player with Gartner-facing capabilities, enthusiasm, and willingness to learn / take responsibility.
- Strong PC literacy and proven ability to manage daily activities using various systems, including the internet, e-mail functions.
Environmental Conditions: Environmental conditions will be based on the job being performed and work will take place in an office setting.
