Our client's EMEA headquarters is a Grade II listed landmark building located in Mayfair, housing world-class exhibitions, sale rooms, and client-facing spaces that support their position as a leading luxury and fine arts business globally. This role requires a sophisticated understanding of building management combined with the operational excellence demanded by a high-profile, client-centric business operating at the pinnacle of the luxury market.
The Senior Facilities Manager UK will report directly to the Account Director, working with the account team to ensure management of the day-to-day client activities for the assigned property/facility and support the account by being the key point of contact for all building-related matters. The role will have responsibility for stakeholder management, building engagement with site users, managing a busy small works projects schedule, collaborating with project managers and consultants on site, and helping guide our client into better ways of working.
Overall Site Responsibility & Heritage Stewardship
- Overall responsibility of the site(s) within the portfolio, with particular focus on the careful stewardship of the Grade II listed headquarters property.
- Collaborate with the client to ensure our scope of maintenance, alterations, and improvements comply with Historic England requirements and listed building consent protocols.
- Work closely with the client’s conservation specialists, heritage consultants, and local authority conservation officers to balance preservation requirements with operational needs.
- Ensure climate control systems maintain precise conditions required for valuable artworks and luxury goods.
- Work with the client’s Security team within their security scope and protocols for high-value inventory including access controls and CCTV systems.
Leadership & Team Management
- Provide managerial overview and guidance to the Facilities team.
- Manage and mentor the Facilities team, developing and sustaining a high-quality, well-motivated team.
- Build and maintain an environment that supports teamwork, cooperation, and performance excellence within the team.
M&E Oversight & Building Systems
- Oversight, responsibility, and management of key M&E deliverables for the site via JLL Engineering colleagues/management.
- Ensuring site-specific statutory and PPM schedules are adhered to and reported via the appropriate platforms in line with contractual and legislative requirements.
- Ensure the management of the building management system (BMS) and ensure 24/7 operational readiness of all critical systems appropriate against the scope and site requirements.
Client/Stakeholder Management
- Proactively engage stakeholders to ensure that on-site client expectations are met.
- Act as off-site key point of contact for Facilities in the client's premises.
- Collaborate with client’s senior leadership and their gallery operations teams to optimize space utilization across exhibition rooms, sale rooms, offices, and storage facilities.
- Ensure all client-facing areas reflect the client’s brand standards and provide an exceptional experience befitting a luxury environment.
Vendor Management
- Manage soft services, engineering, stationery, courier services, mail rooms, furniture, small projects, catering consumables, and security arrangements.
- Procure, manage, and performance-monitor specialist contractors including M&E engineers, conservation specialists, security providers, cleaning services, and trade contractors.
Finance Management / Cost Control / Profitability
- Actively work with the Account Director and Finance Director to ensure that the site's financial operations are meeting or exceeding targets and control requirements.
- Develop and manage the annual facilities budget (capital and operational expenditure).
- Track costs, identify efficiency opportunities, process invoices, and provide regular financial reporting to senior management.
Health & Safety Management
- Ensure the provision of a safe working environment.
- Ensure compliance with statutory regulations on fire, health and safety standards, building regulations, insurance requirements, and listed building restrictions.
Site Operations Management
- Recommend continuous quality improvement practices and implement Industry Best Practice operations.
- Implement building procedures and performance measures and ensure they are always maintained.
Risk Management
- Ensure a property risk management program including audits is implemented and maintained.
- Ensure disaster recovery and business continuity plans are implemented and maintained in line with client/site requirements.
Performance Management
- Achieve Key Performance Indicators and Service Level Agreement targets.
- Ensure helpdesk task resolution meets agreed service standards.
Project Management
- Independently handle and perform Project Management for Small Works mainly in the UK as appointed by the client's team.
- Manage, coordinate, and control the delivery of projects from inception to completion.
Sustainability Initiatives
- Implement energy efficiency measures appropriate for a listed building context.
- Monitor utility consumption, identify reduction opportunities, and support corporate sustainability objectives.
Essential Experience
- Minimum 7-10 years facilities management experience with at least 3-5 years in a leadership role.
- Experience in high-end retail, luxury hospitality, fine arts, auction houses, galleries, or similar prestige environments.
- Well organized and self-starter with independent, resourceful approach.
Essential Qualifications & Compliance Knowledge
- IWFM/BIFM qualification (or working towards) or equivalent professional certification.
- IOSH Managing Safely or NEBOSH General Certificate in Health & Safety.
Desirable Experience & Qualifications
- Knowledge of art handling, installation, and conservation best practices.
- Project management qualification (PRINCE2, APM, or similar).
Key Performance Measures
- Actual year-end costs within agreed percentage of OPEX budget and project invoices issued accurately and in a timely fashion post project close.
- No incidents of non-compliance with statutory inspections and certifications maintained to highest standards.
