On-site staff backup support includes:
- Taking phone calls: Internal and External
- Managing vendor’s visit (deliveries)
- Handling mails
- Managing pantries (replenishment)
- Welcoming the client’s guests and visitors
- Booking and arranging meeting rooms
- Ordering replenishment: tea, coffee, and stationaries etc.
- Escorting vendors
- Setting/tiding up meeting rooms
- Air conditioning management
- Managing access cards
- Event support
- Handling use tickets
- Catering arrangement
- Lunch meeting arrangement and support
- Vendor management
Experience:
- 2-years’ experience in Hospitality and/or Tourism sector or related professional area
- Prior experience to manage meeting room services is an advantage
- Diploma from an accredited institute
Task Skills:
- Proficiency with Microsoft Word, Excel and PowerPoint.
- Good command of verbal and written English and Japanese
Personal Skills:
- Ability to meet tight schedules and deliver high quality of work
- High level of communication and interpersonal skills
Employment Type: Contract Employee
Work Location: Marunochi, Tokyo
Smoking Policy: No smoking on premises (designated smoking areas available)
Working Hours: 9:00 AM to 6:00 PM (hours may vary when working at client sites)
Flexible Work Hours: Core hours apply
Remote Work: On-site attendance required (Remote work requests require consultation)
Holidays: Two days off per week (Follows Japanese calendar)
Overtime Pay: Included. Fixed overtime pay (equivalent to 30 hours per month) is included in the base annual salary.
