What this job involves:
As an Assistant Program Delivery Manager - Meetings and Events at JLL Work Dynamics, you will report to the Meetings and Events Regional Program Manager while working as part of the overall Meeting and Events Team to be responsible for the coordination of Meeting and Events across the region, supporting and providing leadership of onsite meeting and events teams while supporting and coordinating event stakeholders and partner teams. This comprehensive meeting and events coordination role combines program delivery with operational oversight, requiring you to ensure Outlook and Meeting room booking systems are up to date, coordinate event set ups with meeting and events teams, and coordinate meeting and event requests ensuring requests are completed in a timely manner while coordinating employee experience activations and events. You will play a crucial role in JLL's commitment to exceptional meeting and events delivery by ensuring out of hours meeting and events are coordinated efficiently and effectively, ensuring service excellence across the region, coordinating service support including Facilities, Janitorial and Security Teams, and ensuring new processes and standards are implemented across sites in conjunction with Program Manager while providing operational oversight and acting as point of escalation for issues.
What your day-to-day will look like:
- Support and provide leadership of onsite meeting and events teams while supporting and coordinating event stakeholders and partner teams
- Ensure Outlook and Meeting room booking systems are up to date while coordinating event set ups with meeting and events teams
- Coordinate meeting and event requests with teams ensuring requests are completed in timely manner and employee experience activations
- Ensure out of hours meeting and events are coordinated efficiently and effectively while ensuring service excellence across region
- Coordinate service support including Facilities, Janitorial and Security Teams while ensuring rooms are correctly configured
- Ensure new processes and standards are implemented across sites in conjunction with Program Manager with operational oversight
- Act as point of escalation for issues while feeding back to Program Manager and ensuring compliance with EHS requirements
- Lead site visits, planning meetings and final details meetings with Amazon customer and supporting vendor partners
- Liaise with Amazon Global Events Services teams where on-site meetings and events cannot be accommodated.
Required Qualifications:
- Previous experience working within high-profile corporate environment with previous hospitality experience being desirable
- Fluency in English and local language with proficient knowledge of Microsoft Office Pack for comprehensive program coordination
- Very high attention to detail with outstanding customer service skills and ability to communicate confidently at all levels
- Ability to maintain professionalism at all times and be ambassador of the team with excellent team player mentality
- Experience with meeting and events coordination including event set ups and stakeholder management
- Understanding of Outlook and Meeting room booking systems with ability to ensure systems are up to date
- Knowledge of service support coordination including Facilities, Janitorial and Security Teams collaboration
- Ability to act as point of escalation for issues while demonstrating continuous effort to improve operations and service levels.
Preferred Qualifications:
- Background in program delivery management with experience in meetings and events coordination across multiple regions
- Understanding of employee experience activations and events coordination with knowledge of EHS requirements and standards
- Experience with out of hours meeting and events coordination and service excellence delivery
- Familiarity with operational oversight and implementation of global or regional practices and standards
- Knowledge of vendor partner coordination and site visits including planning meetings and final details coordination
- Experience with Amazon Global Events Services teams or similar large-scale corporate event coordination
- Understanding of process improvement and streamlining work processes in meeting and events environments
- Background in corporate hospitality and high-profile client service delivery.
