What this job involves
As part of our FM team reporting into the Facilities Manager, we are looking to recruit a facilities co-ordinator whose focus will be on delivering exceptional workplace experience through face-to-face engagement, proactive communication, and exceptional customer service.
What your day will look like:
In this role you will be the first line ‘go-to-person’ for all facilities related matters and an integral part of the Workplace team. Your key responsibilities will be :
- The first point of contact for all client enquiries and facilities issues, tactfully and confidently setting expectations.
- Work in partnership with Facilities Floor Ambassadors to deliver an exceptional client experience.
- Ensure issues highlighted through routine site inspections or customer complaints are logged on the CAFM system and resolved in a timely manner.
- Conduct daily site walks to ensure flawless execution, look out for defects and remediate any dangerous conditions immediately by raising facilities tickets.
- Be proactive in finding opportunities for improvement within the workspace.
- Ensure JLL CAFM system is checked daily and ensure all issues are completed within the defined Service Level Agreements (SLAs).
- Liaise and work collaboratively with colleagues (FM, Engineering, Cleaning & Front of House) and other vendors to support the functionality of the workspace.
- Monitor, rectify and report Health & Safety near hits and incidents.
- Co-ordinate vendors, ensuring all JLL H&S guidelines and processes are adhered to.
- Ensure prompt and accurate processing of purchase orders and invoice submissions on both JLL and Client financial management platforms.
Required Qualifications, Skills, and Experience
- Strong and excellent communication skills, both verbal and written.
- Solid stakeholder management and organisation skills.
- Experience facilities/property management, or a related field required.
- Professional efficiency with Microsoft Office and CAFM Systems.
- Sound knowledge of Health and Safety requirements within FM.
