Jonas Event Technology (JET) is a leading provider of event registration services and software solutions. Owned by Vesta Software, we support the trade exhibition, consumer, and conference markets with innovative technology and first-class customer service. Dataflow Events, part of the JET family, delivers advanced delegate management and ticketing solutions. This role will be employed by JET but will also provide administrative support for Dataflow.

Position Summary: We are seeking a highly organised and proactive Business Support Administrator to support the JET Managing Director and Commercial Director, working alongside the Vesta Software finance and credit control teams. This role will play a key part in ensuring smooth day-to-day business operations through effective administration, reporting, and process management. The ideal candidate will be detail-oriented, confident in handling financial and operational administration, and adaptable to the varied needs of both JET and Dataflow. Reporting to the Managing Director, the role is part time, Monday to Friday.

Responsibilities

  • Reporting & Finance Support: Support the Managing Director and Commercial Director with weekly, monthly, and quarterly reporting. Manage billing administration in liaison with central finance. Process and reconcile company credit card statements. Assist with month-end processes, ensuring deadlines are met. Provide support to central credit control by liaising with clients and following up on outstanding balances.
  • Operations & Administration: Manage inventory and oversee ordering of office equipment and stock. Produce simple customer quotes and liaise with relevant teams for approval. Maintain accurate administrative records and documentation for internal reporting and audits. Support general office administration, including scheduling, meeting coordination, and document management.
  • Commercial & Business Support: Assist with procurement administration and supplier management. Provide information for forecasting and budgeting as required. Coordinate with cross-functional teams (sales, project management, production) to ensure smooth flow of information. Support ad-hoc projects and initiatives from leadership and central functions. Handle incoming calls and emails, ensuring prompt resolution or escalation. Assist with event logistics support (where required).

Qualifications & Skills

  • Previous experience in an administrative, finance, or office support role.
  • Strong organisational skills with excellent attention to detail.
  • Confident in working with numbers, reports, and financial processes.
  • Proficiency with Microsoft Office Suite (Excel, Word, Outlook) and business systems.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities and meet deadlines.
