About the Role

Jollibee is entering an exciting phase of growth in the UK, and we are seeking an experienced, highly organised and data-confident Supply Chain Assistant to support the effective day-to-day operation of our Supply Chain function. This role plays an important part in ensuring supply chain information is accurate, operational issues are identified and resolved quickly, and our restaurant teams receive responsive support when supply needs arise. Working closely with the Supply Chain team, restaurant Operations, suppliers and distribution partners, you will take ownership of key supply chain reporting, master data, operational administration and issue coordination. This will include monitoring stock cover, short-dated stock, order exceptions and supplier performance, while ensuring actions are followed through to resolution. You will also act as a key Supply Chain Helpdesk for our restaurant teams, coordinating ad hoc requirements such as stock replenishment, stock transfers and Business Continuity Plan (BCP) implementation to ensure restaurant supply needs are supported on time and in full. The role is also responsible for maintaining the accuracy and integrity of key Supply Chain databases and systems, ensuring information is kept current and reliable for operational decision-making.

Your Role

  • Own and maintain accurate Supply Chain data, master data, trackers, systems and supporting documentation.
  • Maintain and manage Supply Chain databases, including the MacromatiX Central List and other relevant systems, ensuring data integrity, real-time accuracy and timely completion of updates.
  • Prepare regular Excel-based Supply Chain reporting, including stock-cover reporting, short-dated stock, order exceptions, supplier performance and other operational KPIs.
  • Analyse and reconcile data from multiple sources, proactively identifying anomalies, gaps, risks and exceptions requiring action.
  • Act as the first point of contact or Supply Chain Helpdesk for restaurant teams, providing responsive support for day-to-day and ad hoc supply requirements.
  • Coordinate restaurant requests including stock replenishment, stock transfers, urgent supply requirements and BCP implementation, ensuring actions are completed on time and in full wherever possible.
  • Monitor inventory, order status, stock availability and supply exceptions, escalating risks appropriately and driving actions through to closure.
  • Coordinate with suppliers and distribution partners on availability, deliveries, shortages, order exceptions, service issues and outstanding actions.
  • Track supplier performance and support the Supply Chain team in identifying recurring service or availability issues.
  • Support purchase order, ordering, inventory, supplier and distribution administration as required.
  • Provide Supply Chain data and coordination support for promotions, new product launches, menu changes, restaurant openings and other business initiatives.
  • Work closely with Operations, Finance and other internal stakeholders to ensure Supply Chain information and actions are communicated clearly and progressed promptly.
  • Maintain clear process documentation and identify opportunities to improve reporting, data accuracy, administration and ways of working.

About You

Experience

  • 3+ years' hands-on experience within Supply Chain, logistics, inventory, planning, procurement or a closely related function.
  • Experience working in a data-heavy Supply Chain environment where accuracy, reporting and operational follow-through are critical.
  • Experience monitoring inventory, orders, availability, supply exceptions and/or supplier performance.
  • Experience working directly with suppliers, distribution partners and cross-functional stakeholders in a fast-paced operational environment.
  • Experience supporting internal operational customers or store/restaurant teams would be advantageous.
  • QSR experience is not essential, although previous experience within QSR, foodservice, retail, hospitality or FMCG would be particularly helpful.
  • Previous experience using NetSuite and/or MacromatiX would be a strong advantage.

Skills & Competencies

  • Strong Excel capability, with confidence working with large data sets, formulas, lookups, pivot tables, data reconciliation and recurring reporting.
  • Strong overall data competency, with excellent attention to detail and the ability to identify anomalies, exceptions, trends and potential risks.
  • Comfortable maintaining master data and databases where accuracy and timely updates are operationally critical.
  • Strong organisation and prioritisation skills, with the ability to manage recurring deadlines alongside urgent ad hoc requirements.
  • Proactive problem-solving skills, with the confidence to investigate issues, coordinate stakeholders and take ownership through to resolution.
  • Clear written and verbal communication skills, with the ability to work effectively with restaurant teams, suppliers, distribution partners and internal stakeholders.
  • A strong service mindset and an understanding of the importance of responsive Supply Chain support to restaurant Operations.
  • Comfortable working in a fast-paced environment where priorities can change quickly and supply issues may require immediate action.

KEY RESULT AREAS (KRA)

KRA 1: Supply Chain Administration & Data Integrity

  • Maintain accurate Supply Chain master data, SKU information, supplier records, ordering information and other core Supply Chain data.
  • Own the ongoing maintenance of key Supply Chain databases, including the MacromatiX Central List, ensuring information reflects current operational requirements.
  • Complete master data changes and system updates accurately and within agreed timelines.
  • Regularly review data for inaccuracies, duplication, missing information or outdated records and proactively correct or escalate issues.
  • Ensure relevant Supply Chain documentation, trackers and process information are maintained and accessible.
  • Support continuous improvement of data-management processes and controls.

KRA 2: Supply Chain Reporting & Exception Management

  • Prepare recurring daily, weekly and monthly Supply Chain reports accurately and within agreed reporting deadlines.
  • Produce and maintain reporting covering stock cover, short-dated stock, order exceptions, stock availability and supplier performance.
  • Manipulate, reconcile and validate information from multiple data sources to ensure reporting is complete and reliable.
  • Identify exceptions, unusual movements, gaps and developing Supply Chain risks and highlight these proactively to the relevant stakeholders.
  • Maintain clear action trackers for issues identified through reporting and follow up outstanding actions.
  • Continually improve reporting templates and working files to increase efficiency, consistency and usability.

KRA 3: Restaurant Supply Chain Helpdesk & Issue Resolution

  • Act as a key Supply Chain Helpdesk and point of contact for restaurant teams on day-to-day Supply Chain requirements.
  • Respond promptly to restaurant queries and requests relating to stock availability, orders, replenishment and other Supply Chain matters.
  • Coordinate stock replenishment and stock transfers where required to protect restaurant availability.
  • Support the timely implementation of Business Continuity Plans (BCP) and other contingency actions when normal supply is disrupted.
  • Coordinate internally and externally to resolve supply issues, ensuring restaurant requirements are clearly understood and actions are assigned appropriately.
  • Track open Supply Chain issues through to closure, providing updates to restaurant and operational stakeholders as appropriate.
  • Identify recurring restaurant supply issues and highlight opportunities for preventative action or process improvement.

KRA 4: Inventory, Ordering & Supplier Coordination

  • Monitor inventory, order status, stock availability, short-dated stock and other key Supply Chain operational indicators.
  • Coordinate with suppliers and distribution partners to obtain timely updates on stock availability, deliveries, shortages, order exceptions and service issues.
  • Support the management and resolution of order exceptions and supply shortfalls.
  • Maintain supplier performance information and assist with identifying service trends and recurring areas of concern.
  • Follow up outstanding supplier and distribution actions and escalate material risks appropriately.
  • Provide Supply Chain coordination and data support for promotions, new product launches, menu changes, restaurant openings and other business initiatives.
  • Collaborate with Supply Chain, Operations, Finance, suppliers and distribution partners to support smooth and reliable day-to-day execution.
