We are looking for a professional to join our Company Secretarial Team. The role is flexible on locations around our JC offices; however, Edinburgh or Glasgow is preferred. As a Company Secretarial Assistant, you’ll play a key role in ensuring a seamless Company Secretarial service working closely with both clients and colleagues. This role offers a diverse range of responsibilities including client service, data management and internal compliance such as engagement letters, AML and billing.

Job Purpose

You will support the onboarding of new clients, reviewing company details to ensure accuracy and smooth integration into our systems. You’ll also monitor the use of our Registered Office services through monthly reporting.

Responsibilities

  • Support the onboarding of new clients and review company details for accuracy.
  • Monitor the usage of Registered Office services and report monthly.
  • Assist with annual Confirmation Statement filings at Companies House, liaising with clients and ensuring deadlines are met.
  • Provide support in handling filings at Companies House and maintaining statutory registers using specialised software.
  • Identify opportunities to enhance operational efficiency and contribute to internal projects.

Qualifications

  • Experience in a company secretarial role is not essential as full training will be given.
  • Subject to performance, a willingness to pursue either a Paralegal qualification in Company Law or the CGI Certificate in Company Secretarial and Share Registration Practice is required.
  • Initiative and the ability to identify ways to improve operational efficiency.
  • Confident communication skills with the ability to positively influence others.
  • Excellent attention to detail and willingness to learn.
  • Proficiency in Microsoft Office, including Outlook, Word and Excel.
  • Demonstrates a flexible and adaptable approach to changing needs and priorities.
