Position: Contracts Administrator
Location: Head Office, Ballinderry Road, Lisburn
Responsible to: Senior Management
Contract type: Full-time, permanent
Working hours: Monday - Thursday (08:00 17:00 with 45min break), Friday (08:00 16:00 with 30min break)

Overall objectives: We seek to appoint a Contracts Administrator to join our busy and expanding team within John McQuillan Contracts Ltd. This role requires a proactive, detail-oriented professional with a commercial mindset and a can-do attitude. The successful candidate will report to Senior Management and Operational staff while ensuring administrative efficiency.
Key responsibilities:
- Contracts & Operational Support
- Compiling and managing squad reports/timesheets for Operational Staff
- Assisting in preparation of the daily programme
- Tracking van times, recording Operatives on/off-site hours
- Assisting in sourcing Utility Mark Up information for projects
- Processing sales invoices and applications for payments for all clients (including subcontractors)
- Administration support with ongoing/new tenders (printing, company seals, getting documents signed)
- Administrative Support & Office Management
- Providing administrative support to Directors and Operational Staff
- Maintaining appropriate filing systems and office equipment
- Handling incoming and outgoing correspondence and telephone calls
- Arranging internal mail collection and delivery
- Photocopying, scanning etc. various documentation (including sales invoices, surfacing records, timesheets etc.)
- Ordering and managing stock levels for cleaning, kitchen, and office supplies
- Maintaining reception duties (deliveries, visitors, door management)
- Assisting with internal catering/hospitality requirements
Essential Criteria:
- Strong IT skills including proficiency in Microsoft Excel, Word and other digital platforms/technology used for completion of the role
- Ability to work independently and take initiative
- Attention to detail and ability to handle confidential information
- Strong organizational and multitasking skills
- Excellent communication skills: clear, effective and authoritative in spoken communication
- Strong awareness of the needs of clients, with the ability to build rapport and maintain effective relationships
Desirable Criteria:
- Previous experience in similar role will be advantageous, but not essential
- Team player with demonstrated cross-functional achievements
- Experience handling contracts, invoices or previous financial administration would be beneficial
