The Academic Administrator will play a key role in supporting the smooth and successful delivery of the Institute’s academic programmes. Working closely with the Academic Director(s), the Academic Administrator will provide operational, logistical, and administrative support across the full academic workflow from faculty coordination to content management to compliance with Institute standards and deadlines.
The ideal candidate is highly organised, proactive, and comfortable working across time zones with senior academics and professional staff. They will maintain exceptionally high standards, anticipate operational needs, and help ensure that each programme reflects the Institute’s commitment to excellence.
Key Responsibilities- Academic Operations & Logistics
- Support the Academic Director(s) in coordinating academic schedules, tutorials, lectures, and assessments across multiple global programmes.
- Oversee the logistical preparation of academic materials, programme handbooks, and resources.
- Track deadlines and ensure timely submission of syllabi, teaching plans, reading lists, and other academic documents.
- Faculty & Contributor Coordination
- Serve as a primary point of contact for faculty, guest lecturers, graders, and academic contributors.
- Manage communications with faculty before, during, and after programmes, ensuring clarity, professionalism, and responsiveness.
- Assist in onboarding new faculty and contributors, ensuring they understand Institute expectations, processes, and standards.
- Administrative Support
- Handle day-to-day administrative tasks essential to academic programme delivery, including data management, document organisation, and digital filing.
- Maintain accurate academic records, including attendance, performance data, and evaluation materials.
- Prepare correspondence, briefings, and internal communications for the Academic Director(s).
- Quality Assurance & Compliance
- Help ensure that all academic activities meet the Institute’s standards for quality, integrity, and rigour.
- Monitor compliance with internal processes, submission requirements, and deadlines across academic teams.
- Support implementation of academic policies and improvements to workflows and systems.
- Exceptional organisational skills and attention to detail.
- Strong written and verbal communication skills.
- Ability to manage multiple tasks simultaneously and prioritise effectively.
- Confidence interacting with senior academics, educators, and international contributors.
- High level of professionalism, discretion, and reliability.
- Competence with digital tools (Google Workspace, CRM systems, spreadsheets).
- A proactive, solutions-oriented approach to work.
- Prior experience in academic administration, programme coordination, or higher-education operations.
- Familiarity with classical liberal arts, philosophy, politics, economics, or related disciplines.
- Experience supporting academic teams across different time zones and international contexts.
