  • Support the Operations Manager and Operations Coordinator
  • Provide general administrative support, including meeting scheduling, note taking, action tracking, and resource preparation
  • Support different functional areas during peak periods according to programme priorities
  • Identify and implement improvements to administration, processes, and operations
  • Maximise the use of technology and software
  • Track projects and maintain timelines, tasks, and deadlines
  • Communicate project updates to relevant stakeholders
  • Collaborate with the team and third parties to administer, test, and improve systems
  • Maintain the CRM database and keep key data up to date
  • Conduct research and collect data and feedback for continuous improvement
  • Create, review, and maintain team guides, best-practice guidance, and workflow documentation
  • Support recruitment, onboarding, and training for volunteers and temporary workers
  • Support planning and logistics for meetings and events

Requirements

  • Proven administration experience in a busy team, delivering high-volume output to deadlines
  • Ability to balance multiple projects in a fast-paced environment and stay on top of deadlines and deliverables
  • Excellent attention to detail
  • Experience using databases and accurately checking and entering data
  • Technical proficiency, confidence learning new systems, and excellent MS Office skills
  • Strong verbal and written communication and interpersonal skills
  • Sensitivity, discretion, and understanding of legal requirements when handling personal information and data
  • Experience working in a start-up environment (desirable)
  • Experience supporting or administering Salesforce (desirable)
  • Experience using Asana and Jira (desirable)
  • Experience supporting software testing, including UAT, by following user stories and test scripts (desirable)
  • Right to work permanently in the UK for the duration of the fixed-term contract
  • Live in or within easy commuting distance of Oxford, or be willing to relocate
  • Enhanced DBS check required; employer will apply on the candidate's behalf
