The predicted salary is between 30000 - 40000 £ per year.
Provide comprehensive secretarial and administrative support including audio typing/drafting and formatting correspondence, legal documents, creating court bundles, pleadings and client letters using firm templates and precedents.
Manage diaries, schedule meetings and conference calls, arrange travel and accommodation where required, and co-ordinate internal and external appointments to ensure efficient use of fee earners’ time.
Manage incoming and outgoing communications, answer telephone calls, screen and direct enquiries, take messages and respond to routine client queries promptly and professionally.
Open, maintain and close client files in accordance with firm procedures; ensure documents are scanned, saved and indexed correctly within the firm’s case management and document management systems.
Prepare and lodge court forms, attend to electronic filings and deadlines, assist with the assembly of trial and hearing bundles and ensure compliance with court rules and procedural requirements.
Assist with billing and time recording, prepare fee notes and expense claims, and liaise with accounts where necessary to support accurate financial records.
Support client care processes by maintaining regular communication, arranging client meetings, sending engagement letters and keeping clients informed of progress in a clear and professional manner.
Maintain confidentiality and ensure compliance with data protection, anti-money laundering and other regulatory requirements; undertake required training and checks.
Requirements
- Proven experience as a Legal Secretary, Legal PA or similar role within a law firm or legal environment.
- Excellent keyboard, drafting and proofreading skills with a strong attention to detail and accuracy when preparing legal documents and correspondence.
- Confident user of Microsoft Office (Word, Excel, Outlook) and experienced with case management and document management systems; able to adopt new technology quickly.
- Strong organisational and time management skills, able to prioritise competing tasks, manage diaries and meet deadlines while working independently and as part of a team.
- Excellent verbal and written communication skills with a professional telephone manner and the ability to liaise effectively with clients, colleagues and third parties.
