Responsibilities
- Coordinate corporate secretarial work across a range of jurisdictions and time zones worldwide, including annual compliance and corporate actions.
- Ensure clients’ legal entities are compliant with local corporate secretarial (or equivalent) obligations.
- Monitor compliance deadlines, review processes, and guide clients through their responsibilities to ensure obligations are completed on time, ensuring the good standing of client international registrations.
- Manage a number of clients, being a central point of contact, ensuring client satisfaction with the overall service.
- Review and sense check work performed by international network firms (e. g. ensuring the instructions have been followed, information shared is correctly included in draft documentation).
- Contribute to revenue through ensuring that invoices for work completed are issued accurately and on time.
- Carry out regular update calls with clients to review progress of ongoing matters and projects and ensure that all action points are completed.
- Assist with setting up new clients and engaging the local legal teams for provision of corporate secretarial services.
- Be responsible for ensuring clients’ databases are up to date and accurate.
- Maintain internal systems (matter management system and finance software).
- Escalate issues/concerns raised by clients and international network firms to the appropriate individuals within the GEMS Management Team.
Requirements
- Highly organised individual, experienced in managing competing deadlines and demands.
- Experience in client-facing roles.
- IT literate, skills in all MS Office, Excel and Outlook.
- Strong verbal and written communication in English (incl. excellent grammar and ability to adapt communication style to suit audience).
