Own the day-to-day running of the company so the team can focus on research
Act as the main point of contact for payroll, pensions, and benefits
Manage employment contracts, HR records, and onboarding paperwork
Run new-hire onboarding end to end
Provide administrative support throughout the recruiting pipeline, including scheduling and offer paperwork
Process and pay invoices
Manage ad-hoc expense reimbursements
Coordinate with accountants and maintain accurate, current financial administration
Manage office supplies, vendor accounts, and subscriptions
Organise team dinners and off-sites
Book ad-hoc team travel
Liaise with external specialists and ensure follow-ups are completed

Requirements

  • 1–3 years of experience in office management, HR administration, executive assistance, or operations coordination
  • Experience ideally at a small or fast-growing company
  • Highly organised, with a track record of managing several workstreams and vendors simultaneously
  • Comfortable handling sensitive information, including salaries, personal data, and contracts, with discretion
  • Strong written and verbal communication skills
  • Confidence liaising directly with accountants, lawyers, and payroll bureaus
  • Proactive and resourceful approach
  • Nice to have: startup or scale-up experience
  • Nice to have: familiarity with UK payroll, pension, and core employment law basics
  • Nice to have: experience with HR, accounting, or expense tools such as Rippling and Xero
  • Legally authorised to work in the country in which the job is located
