Manage end-to-end worker administration, including document verification, contract issuance and amendments/extensions, medical checks where required, qualification/certificate tracking and exit documentation
Prepare and review pre-payroll and pre-invoice packs before pay runs and client billing
Respond to worker and operational queries about pay, contracts and administration
Monitor time and attendance data
Process timesheets and absence records
Manage adjustments including bonuses, deductions and other pay variances
Ensure compliance with legislation, client requirements and internal processes
Identify and escalation risks or changes affecting pay, invoicing or margin
Collaborate with Operations, Sales, Payroll and Finance to resolve issues, control labour costs and protect margin
Support continuous improvement initiatives and process documentation
Act as a subject-matter contact for the Care Team and apprentices
Requirements
- Experience in workforce administration, HR operations or payroll coordination
- Staffing/agency back-office experience desirable
- Strong attention to detail
- Ability to meet deadlines
- Excellent stakeholder communication
- Confidence using systems and data to drive accurate outcomes
- Good working knowledge of UK payroll principles and related compliance requirements
- Strong IT skills
- Experience with payroll, ATS or ERP systems
- Confident Excel usage
- Excellent verbal and written communication with internal and external stakeholders
- Ability to prioritise multiple tasks and work to strict deadlines
- Customer-centric approach
- Ability to work 37.5 hours per week
