  • Provide exceptional support to two VPs
  • Prepare correspondence, reports, presentations, agendas, and minutes
  • Receive, screen, and direct incoming calls, visitors, mail, and email
  • Manage complex diaries and coordinate meetings and appointments
  • Arrange flights, accommodation, and other travel requirements
  • Manage expenses for senior stakeholders as required
  • Provide reception cover and general office support when needed
  • Support internal communications, including Town Hall slides and coordination
  • Coordinate the employee recognition scheme
  • Research and summarize complex information in preparation for meetings and projects
  • Attend staff meetings, take notes, and track actions
  • Manage and maintain distribution lists
  • Perform other duties as assigned

Requirements

  • Previous experience gained as an Executive Assistant, Personal Assistant or in a similar role
  • Excellent organizational and time-management skills, with the ability to manage multiple priorities simultaneously
  • Excellent Microsoft Office skills, particularly Outlook, Word, Excel and PowerPoint
  • Strong written and verbal communication skills
  • Excellent attention to detail and a high standard of accuracy
  • Comfortable working in a fast-paced environment where priorities can change quickly
  • Professional, personable and confident when dealing with senior stakeholders
  • Discreet and trustworthy, with the ability to handle confidential information
  • Strong problem-solving skills and a practical, can-do approach
  • Flexible, adaptable and willing to get involved across a broad range of responsibilities
