- Provide executive and strategic support to the CCO and VP CX
- Coordinate, manage, and track executives’ schedules, projects, and commitments
- Work closely with the leadership team and serve as the primary stakeholder contact for matters related to the executives
- Manage complex calendars and scheduling across multiple time zones
- Filter, prioritise, draft, and respond to emails and communications
- Act as a gatekeeper, managing conflicting priorities and removing blockers
- Plan, schedule, and coordinate internal and external meetings
- Prepare agendas, track action items, take minutes, and complete follow-ups
- Assist with board materials, investor updates, and briefing notes
- Organise and book flights, hotels, transfers, and visas
- Prepare detailed travel itineraries and handle last-minute changes
- Manage expenses, invoices, and budget tracking related to executive activities
- Act as first point of contact for key stakeholders, prospects, and customers on behalf of executives
- Proactively solve problems and anticipate potential issues
- Identify and implement systems, tools, and processes to reduce administrative workload and improve productivity
- Help outsource and delegate non-essential tasks
Requirements
- 3–5 years of work experience as an EA, PA, Chief of Staff, or Founders Associate, ideally in a high-growth startup or tech environment
- London-based
- Must work in the office 3 days per week; in-person Tuesdays, Wednesdays, and Thursdays
- Flexibility to provide support during off‑hours across Europe and US time zones
- Experience using modern productivity tools such as Slack, Notion, and Google Suite
- Highly organised with meticulous attention to detail and exceptional multitasking ability
- Ability to ruthlessly prioritise, work proactively, think strategically, and operate autonomously
- Outstanding verbal, written, and presentation communication skills
- Ability to build rapport, influence people, and drive change across executive, technical, and junior audiences
- Ability to handle confidential matters with discretion and professionalism
- Outcomes‑focused, proactive, accountable, empathetic, reliable, collaborative, and receptive to feedback
- Must be able to work permanently as a non‑contractor
