Role Overview
ISI Global is seeking a highly organised, proactive, and professional Executive Personal Assistant to provide support to the owner of the agency. This role is key to enable this owner to prioritise workload and growth of the business. It will combine traditional executive support with creative and operational business coordination. An important focus is the ability to work collaboratively, contributing to as well as translating notes, ideas, and verbal input into clear, well-structured, and visually polished PowerPoint presentations. This is a part-time role (3 days per week), ideal for an organised individual with good business acumen who has experience in the creative industry with agency-side experience.
Key Responsibilities
- Executive & Diary Support: Manage the owner's diary, appointments, and scheduling, proactively prioritising time and resolving conflicts. Coordinate UK and international travel, including flights, accommodation, itineraries, and meeting logistics. Manage some inbox communications, drafting responses where appropriate and ensuring timely follow-up. Prepare agendas, briefing notes, and supporting materials ahead of meetings. Liaising with clients on the owner's behalf when needed.
- Presentation & Document Preparation: Translate rough notes, early-stage ideas, and verbal input into well-structured, compelling presentation decks. Ensure presentations are clear, on-brand, and professionally formatted. Draft, edit, and proofread reports, proposals, and written communications as required.
- Communication & Stakeholder Liaison: Act as a trusted point of contact on behalf of the owner, managing communications with senior team members, clients, and external partners. Handle sensitive and confidential information with discretion and professionalism. Ensure key actions, deadlines, and decisions are followed up and progressed.
- Meetings & Operational Support: Coordinate meetings, prepare materials, and record actions or notes when required. Assist with ad-hoc research and special projects. Support in tidying up and maintaining a CRM for efficient lead tracking and client development.
- Financial & Administrative Support: Manage the owner's expenses, including processing, reconciliation, and submission. Liaise with finance teams or external accountants as required to ensure timely processing and accuracy.
Skills & Experience Required
- Proven experience in a co-ordination and support role, agency-side.
- Strong experience or ability to create PowerPoint presentations, with a good design eye and writing ability with a focus on clarity of communication.
- Excellent written and verbal communication skills.
- Highly organised with strong attention to detail.
- Ability to manage multiple priorities independently and work with discretion.
- Experience working in a creative, agency, or client-facing environment.
- Strong proficiency in Microsoft Office (PowerPoint, Word, Outlook, Excel).
- Confidence supporting senior stakeholders in a fast-moving business.
