We are seeking a proactive and highly organised Inside Sales & Order Management Specialist to join our commercial team. You will be responsible for managing the end-to-end customer journey from initial quote through to final delivery. This involves meticulous project coordination of orders, persistent follow-up on sales opportunities, and delivering exceptional support to our Europe/Africa customers. The ideal candidate is a master of process, an effective communicator, and a tenacious professional who drives sales momentum while ensuring flawless operational execution.
Responsibilities
- Quote Management & Sales Follow-Up (30%)
- Assist in the preparation, issuance, and project management of quotes for Europe/Africa customers, ensuring accuracy and competitiveness.
- Systematically follow up on all submitted quotes to nurture leads, convert opportunities, and gather feedback.
- Maintain a pipeline of active quotes and provide regular updates to the Sales team on quote status, potential conversions, and competitive intelligence.
- Liaise with technical or product teams as needed to develop comprehensive and compelling proposals.
- Order Project Management & Fulfilment (40%)
- Accurately process customer purchase orders, acting as the central project manager from PO receipt to shipment.
- Proactively monitor and track the progress of all open orders, ensuring milestones are met and any risks to on-time delivery are identified early.
- Efficiently manage the project of order changes, including amendments, cancellations, credits, and returns, coordinating all stakeholders (Logistics, Sales, Operations).
- Ensure all orders are entered correctly with accurate pricing, terms, and delivery specifications.
- Customer Communication & Support (20%)
- Serve as the primary post-quote and post-order point of contact for customers, providing timely and professional responses.
- Proactively communicate any schedule changes, issues, or updates regarding quotes and ongoing orders.
- Resolve order and delivery-related challenges swiftly, escalating only when necessary.
- Provide regular, proactive reporting on order and quote statuses to customers.
- Cross-Functional Collaboration & Process Improvement (10%)
- Work closely with Sales, Operations, Logistics, and Supply Chain to ensure best-in-class customer support and smooth project handoffs.
- Support the identification of systemic issues and contribute to process improvement initiatives to enhance quote conversion rates and order fulfilment efficiency.
Qualifications
- Diploma or Bachelor’s degree in Business, Supply Chain, Engineering, or a related field, or equivalent work experience.
- 1–3 years of experience in inside sales, order processing, customer service, or an administrative role within a manufacturing or technical environment.
- Strong organizational skills and the ability to manage multiple quotes and orders at the same time.
- High attention to detail, particularly when working with pricing, specifications, and delivery information.
- Clear and professional written and verbal communication skills.
- Comfortable using CRM, ERP, or order management systems.
- Willingness to follow up consistently on quotes and customer requests.
- Ability to work well with sales, operations, and logistics teams.
- Positive, proactive attitude with a willingness to learn and improve processes.
