The Ecommerce Operations Manager is responsible for the end-to-end operational accuracy of orders and returns across multiple e-commerce sites. This role ensures returns are correctly reconciled, RMAs are managed in line with SLAs, and all returns, shortages, and cancellations are accurately processed and recorded. The role oversees daily order fulfilment with 3PL partners, proactively resolving dispatch issues, system errors, and discrepancies across Shopify and ERP systems through ongoing order reconciliation and data cleansing. In addition, the role manages courier claims, monitors and assesses potentially fraudulent orders, and works closely with finance, customer service, and operations to mitigate risk and protect revenue. The Ecommerce Operations Manager provides hands-on operational and administrative support to the Senior Web Operations Manager, resolves ERP and WMS-related issues affecting order flow, stock, and shipments, and adapts quickly to ad hoc tasks and changing business priorities to ensure smooth day-to-day trading and peak performance.

Responsibilities

  • Accurately reconcile returns across three e-commerce sites in coordination with 3PL partners and internal finance and operations teams.
  • Create, manage, and track RMA (Return Merchandise Authorisation) cases to ensure returned products are processed, restocked, or written off correctly and within agreed SLAs.
  • Process returns, shortages, and order cancellations, ensuring all system adjustments are completed accurately.
  • Maintain consistent, detailed, and auditable records for all return-related activity.
  • Monitor daily order dispatch activity with 3PL partners to ensure timely and accurate fulfilment.
  • Proactively identify and resolve fulfilment delays, shortages, picking errors, or dispatch discrepancies.
  • Review and resolve all ERP order errors, fixing issues directly where possible and escalating.
  • Investigate recurring errors to identify root causes and inefficiencies.
  • Ensure all Shopify orders are correctly shipped and closed.
  • Investigate unshipped orders, manually closing orders where caused by file issues, or re-pushing orders when data is missing.
  • Perform the same reconciliation within ERP to ensure order, shipment, and financial data aligns accurately across systems.
  • Log, track, and manage courier claims from initiation through to resolution.
  • Liaise with courier account managers and maintain clear, organised documentation for all claims.
  • Review and assess high-risk or flagged orders for potential fraud.
  • Work closely with finance, customer service, and operations teams to approve, hold, or cancel orders based on risk assessment.
  • Support the Senior Web Operations Manager with day-to-day operational tasks and cross-functional project coordination.
  • Provide hands-on administrative and operational support to ensure workflows run efficiently.
  • Resolve related queries, including: Orders not flowing to 3PLs; Shipment creation and updates; Shipment notifications; Stock adjustments.
  • Provide ad hoc operational, technical, or administrative support to the Senior Web Operations Manager and wider team.
  • Adapt quickly to changing priorities, peak trading periods, and seasonal initiatives.
