We have an exciting and challenging opportunity for a dynamic Personal Assistant to provide professional support to the CEO’s Office of a well‑known FTSE 100. In this pivotal role, you will be instrumental in ensuring the smooth operation of the CEO’s Office day‑to‑day activities. As a Personal Assistant, you will proactively manage the diary and emails, organise travel and accommodation, and prioritise key activities to help achieve the strategic goals of the organisation.
We are looking for a highly organised and forward‑thinking individual with the ability to professionally represent the CEO’s Office in communications and meetings at all times. The individual will also deputise for the CEO’s Personal Assistant during periods of annual leave. The individual will have exceptional communication skills and thrive in a fast‑paced and ever‑changing environment. Your ability to work independently, coupled with your confidence and professionalism, will be essential in this role. This role is based at our Strand office in London. What You’ll Do
- Diary Management: Proactively manage and coordinate a complex and dynamic diary, ensuring accurate scheduling and timely responses to meeting requests.
- Meeting Preparation: Prepare for various National Grid Executive and Board meetings, ensuring the CEO’s Office is well prepared for all meetings, with all necessary papers in advance and appropriate time to review in advance of the meeting.
- Stakeholder Management: Act as the first point of contact for internal and external stakeholders, including government, regulators and investors. Build strong relationships with key stakeholders.
- Travel Coordination: Arrange complex international travel itineraries, including flights, accommodation, ground transfers, and necessary travel documents, for various executives in the business.
- Communication Management: Respond to queries and manage emails, ensuring data protection, confidentiality and privacy protocols are upheld in all circumstances.
- Expense and Invoice Management: Compile and submit expense reports and process invoices for the CEO’s Office. Work closely with the CEO Office team to ensure complete synchronisation of meetings, communications and requests, and tracking strategic initiatives, goals, and priorities.
What You’ll Have
- Proven experience as a C‑Suite Personal/Executive Assistant to an executive or Board Member.
- Strong working knowledge of Microsoft applications, including Word, Excel, and PowerPoint, as well as SharePoint.
- Exceptional organisational skills with the ability to prioritise and manage a busy workload effectively.
- Strong communication skills and attention to detail, demonstrating initiative and a flexible, "can‑do" attitude.
- Ability to handle highly confidential and sensitive information with discretion at all times.
- The commitment to be on call as and when required, in event of an operational emergency requiring last minute travel arrangements.
