Pension And Benefits Administrator – Ampthill, Bedfordshire

  • Fixed Term Contract – 12 months
  • 37.5 hours per week with flexi working pattern

This role will be supporting all our global administration activity with workload requirements increasing; we are seeking a proven Pensions & Benefits Administrator. The role sits within our International Reward Centre of Expertise and will assist in the administration of European pensions and international benefits. It will support all aspects of administrative activity under the guidance of the International Benefits and EMEA Pension Manager. You will work closely with employees, Finance, plan trustees, and external service providers to maintain accurate records, process pension contributions, and invoice payments.

Responsibilities

  • Provide support for all pension and benefit activities, including administering invoice payments and plan renewals.
  • Ensure the administration of related programs is compliant with guidelines, processes, procedures, and applicable laws.
  • Support pension and benefit communications to employees.
  • Work with regional Reward teams and external vendors to ensure efficiency of administration.
  • Create, process, and track invoices, ensuring accuracy, timely payments, and proper record-keeping; handle invoice discrepancies and vendor queries.
  • Develop and maintain employee communications to enhance engagement and understanding with the workforce.
  • Prepare draft communications materials, such as webinars, statements, and newsletters.
  • Monitor project expenditure and work with leadership to deliver projects on plan and to budget.
  • Under guidance, document processes, prepare meeting notes, and conduct analysis.

Essential Skills

  • Generate, upload, and distribute invoices via customer portals or systems (e.g., SAP).
  • Input and maintain accurate invoice details and customer account information.
  • Investigate and resolve issues with invoices, payments, or customer accounts.
  • Ability to work in a high-volume role within a large, complex business in a hands-on capacity.
  • Ability to manage multiple priorities.
  • Ability to build and maintain strong relationships with multiple key stakeholders.
  • Perform other related administrative tasks, including assisting with payroll-related queries and coordinating with other departments as needed.
  • Administrative experience with benefits is helpful but not essential.
  • A self-starter who can work independently without continual supervision or direction.

  • Proficient in the use of Microsoft Excel.
  • Ability to identify and resolve discrepancies and financial issues relating to invoices.
