THE EMPLOYER IS: NBWISPNBWISP is a community-based health support charity located in North Belfast. We provide health and wellbeing, education, counselling, support and community development services to address underlying need.We are seeking a Receptionist/Administrative Assistant, a versatile role responsible for being the first point of contact for visitors, managing incoming and outgoing correspondence, performing clerical tasks like data entry and filing, maintaining the reception area, and providing general administrative support to centre staff.

Responsibilities

  • Greet/welcome clients.
  • Maintaining the reception area and meeting rooms to a high standard, ensuring they are tidy, presentable and reset after use, and reporting any maintenance issues to the Office Manager.
  • Supporting the Office Manager with office maintenance tasks, including coordinating fire drills.
  • Organising and preparing refreshments for meetings and events.
  • Direct visitors to the appropriate person and office.
  • Answer, screen and forward incoming phone calls.
  • Receive, sort and distribute mail/deliveries.
  • Maintain office security by following safety procedures and controlling access via the reception desk (sign-in system).
  • Provide basic and accurate information in-person and via phone/email.
  • Admin tasks including photocopying, answering phone and other general administrative duties.
  • Any other duties that may be assigned.

Skills and Qualifications

  • Math and English GCSE grade C or equivalent.
  • Excellent knowledge of social media platforms.
  • Knowledge of MS office programs, including Word, Excel, Email etc.
  • Knowledge of the community and voluntary sector in Northern Ireland.
  • Previous office administrative assistant experience.
