The Pre-Construction and Estimating Document Control Assistant plays a key role in supporting the pre-construction process by ensuring project documents are accurately maintained and easily accessible. This role is responsible for managing and maintaining project documentation and records to support smooth project operations.
MJM Marine is a progressive, flexible and rapidly growing specialist joinery and interior fit-out contractor. The business has built a reputation for excellence and innovation by delivering major marine projects for local and global clients and due to significant growth, the opportunity has arisen for a Pre-Construction Assistant to join the team at our Newry Office.
Successful applicants can participate in education and training as necessary to enable them to carry out their role and to support the company’s objectives.
Responsibilities:- Logging tender documents received from clients.
- Recording which documents have been sent to suppliers.
- Recording requests for information in the appropriate project folder.
- Ensuring project estimating folders are kept up to date.
- Reproduction of drawings and documents (hardcopy and in an electronic version) as required, using standard drawing issues, receipt forms, client report mechanisms and project reports, as well as storage of current drawings.
- Registering and distribution of incoming and outgoing drawings and project information to include, but not limited to, drawings, specifications from internal and external sources.
- Liaising with the design/contracts/estimating/QS teams, internal and external project teams and client teams.
- Archiving and general office duties.
- Filing documents in physical and digital records and ensuring appropriate storage.
- Reviewing and maintaining the accuracy of the records, editing where necessary to ensure they are up to date.
- Maintaining confidentiality around sensitive documentation.
- Preparing ad-hoc reports, presentations and correspondences on projects when required.
- Carrying out Reception duties as required to provide cover for MJM Receptionist.
- Microsoft Office skills to include Word, Outlook, Sharepoint and Excel.
Standard Hours: up to 25 hours per week. Flexible/Reduced Hours may be available upon approval by a Work Coach. Additional Hours: The employer may offer extra hours depending on availability. This should be discussed directly with the employer before starting employment.
