To ensure the smooth daily operation of the Forward South Partnership Hub, acting as the first point of contact for users and visitors. This role is responsible for managing front‑of‑house operations, general administrative support and maintaining an organized and functional reception area.
Responsibilities:
- Greet all visitors, service users, and staff.
- Manage the reception and surrounding area, including the coffee dock, ensuring it is clean, organised and presentable.
- Manage incoming phone calls promptly, including PBX voicemail notifications, listening and forwarding to relevant staff members.
- Schedule and manage the calendar – booking meetings and rooms for various programmes and trainings, ensuring all arrangements are in place.
- Maintain visitor log and collate data on a monthly basis, reporting to senior management.
- Support the Forward South Partnership team with administrative and clerical duties including data entry, scanning, and printing.
- Answer any queries regarding Forward South Partnership projects/services, including the Social Supermarket and Roma Support Hub.
Skills and Qualifications:
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office (Word, Outlook & Excel).
- Able to work independently or as part of a team.
- Experience working with the community & voluntary sector, community organization, charity, or office hub.
Further Information:
Standard Hours: up to 25 hours per week. Flexible/Reduced Hours: may be available upon approval by a Work Coach. Additional Hours: the employer may offer extra hours depending on availability. This should be discussed directly with the employer before starting employment. The job advert may end before the closing date if requested by the employer.
