The predicted salary is between 11 - 16 £ per hour.

The successful candidate will be trained to provide administrative support to the CEO and the Project Team Leaders. The role will also involve using our internal online server system and communication systems (telephone, social media), along with supporting our finance and facility administrative procedures.

Responsibilities

  • Use of Microsoft Office, Excel, Word and PowerPoint to assist in maintaining key documentation and information systems (online/hardcopy) according to HFT’s policies and local procedures.
  • Provide administrative support such as filing, photocopying/scanning, making and answering phone calls, responding to emails, taking messages, opening post, tracing papers/correspondence and archiving documents.
  • Operate HFT’s diary and room booking systems.
  • Support recruitment processes.
  • Assist in the maintenance and disposal of documents under HFT’s Data Protection (GDPR) and retention policies.
  • Conduct all work in line with the policies and procedures of HFT, statutory regulations and professional guidance.
  • Send birthday cards to volunteers and thank you certificates during annual volunteer week.
  • Monitor stationery, printer ink supply levels etc. and purchase orders and order new supplies/resources in a timely manner.
  • Assist in producing content and publicity for HFT’s web presence, social media, newsletters and publicity documents.
  • Support room usage, set up etc.
  • Act as point of contact for callers using the office intercom, directing them to the relevant project/manager including advising when most likely available.
  • Participate in line management, training and appraisal in a positive way.
  • Any other duties conducive to the effective operation of the post or, as may be assigned by their Line Manager, within the level of the post.

  • Work at all times with respect and sensitivity to the needs of clients.
  • Ability to engage with the staff, volunteers, service users and work effectively with others.

Further Information

  • Standard Hours: up to 25 hours per week.
  • Flexible/Reduced Hours: May be available upon approval by a Work Coach.
  • Additional Hours: The employer may offer extra hours depending on availability. This should be discussed directly with the employer before starting employment.
