The postholder will play a key role in delivering high-quality administrative support to managers and teams within their designated service area. This includes ensuring that all administrative processes are carried out efficiently and effectively, contributing to the smooth operation of the service. The role involves managing day-to-day tasks, maintaining accurate records, coordinating communications, and providing assistance that enables managers and teams to focus on their core responsibilities.
Responsibilities
- Provide administrative support to individual departments ensuring the effective operation of systems and procedures.
- Assist in implementing, reviewing and updating policies and systems.
- Act as first point of contact for incoming telephone calls and general inquiries.
- Ensure that filing systems are maintained and updated.
- Sort and distribute incoming mail on a daily basis, ensuring that the tray is emptied, and contents processed.
- Accurate use and operation of the computerised systems.
- Seek innovative solutions to business problems.
- Learn about our clients, their organisation, our relationship and what services they provide.
- Get involved in the collection, collation, analysing, presentation and communication of data.
- Produce comprehensive reports and make recommendations on action plans to identify improvements.
- Assist in the identification, preparation, supervision and monitoring of projects.
- Ensure that at all times projects are delivered with the co-operation and participation of stakeholders.
- Establish and foster links with stakeholders, both internal and external to the organisation, as and when required.
- Promote the HSC values and culture of the organisation by contributing to development and implementation of relevant policies and procedures, and appropriate personal behaviour.
- Take responsibility for his/her own performance and act to address identified personal development areas.
Skills and Qualifications
- Communication Skills - clear verbal and written skills (phone & email etiquette, active listening).
- Organisational skills - ability to prioritise tasks, use of tools to help time management.
- Time management - will gain experience managing schedules and working to deadlines.
- Attention to details - accuracy in data entry, record keeping and handling of sensitive information.
- Team Work - provide support and assistance to wider team, share learning from colleagues.
- Tech/IT skills - use of Microsoft packages and various other IT systems.
