The Admin Assistant will help the charity with everyday office tasks, so things run smoothly for staff and for people who use our services. The role will also support the booking of our accommodation, keep simple records up to date and provide basic admin support to staff and volunteers.
Responsibilities
- Answer phones, reply to simple emails, photocopy and scan documents, and keep paper and electronic files and folders tidy.
- Update a simple booking system or calendar, record who is staying and when, and prepare basic information packs for guests.
- Help staff and volunteers by printing forms, setting up rooms for meetings and training, and taking short notes when asked.
- Enter information into Excel spreadsheets, update contact and mailing lists, save documents in the correct folders and keep information up to date.
- Greet visitors in a friendly way, answer simple questions, and communicate with guests and stakeholders by email and on the phone.
Skills and Qualifications
- Basic experience using a computer, especially Excel, Word and email (training will be provided and refreshed as needed).
- Able to speak clearly and politely with staff, visitors and people using the service, in person, on the phone and by email.
- Willing to learn, follow instructions, work as part of a team and ask for help when unsure.
- An interest in helping people and supporting a learning disability charity.
- Being organised and prepared for a variety of events, meetings and organisational tasks, helping staff and visitors have a smooth and positive experience.
Further Information
- Standard Hours: up to 25 hours per week.
- Flexible/Reduced Hours: May be available upon approval by a Work Coach.
- Additional Hours: The employer may offer extra hours depending on availability. This should be discussed directly with the employer before starting employment.
