Join our team as an Office Manager at Vision Survey, where you will play a pivotal role in streamlining our office operations and fostering a productive work environment. Our company is focused on providing excellent support to some of the largest construction projects within the UK. As an Office Manager, you will be integral to ensuring seamless internal communication and administration across all departments.
Responsibilities
- Oversee the daily operations of the office to ensure smooth workflow and efficient operations.
- Manage office supplies, procurement, and inventory, ensuring all necessary materials and resources are available.
- Act as the primary point of contact for internal and external communications, fostering strong relationships with both.
- Assist in HR tasks including onboarding of new employees, maintaining personnel records, and managing office compliance with company policies.
- Support HR in finding relevant training for staff, including suitable training course/provider, booking training, coordinating with staff members and line managers, and maintaining records.
- Ensure the office adheres to health and safety regulations and promote an environment conducive to productivity.
- Implement and improve office systems and procedures for enhanced efficiency.
- Assist with travel arrangements for team members and maintain a calendar of events and deadlines.
- Help with overall fleet management, maintain FORS registration with respect to the company's vehicle fleet, and ensure all company vehicles are maintained in line with safety and legal requirements, including MOT, Insurance, Tax, Service, tyres, breakdown, etc.
Qualifications
- Proven experience in office management or an administrative role, ideally within the construction or engineering sectors.
- Strong organisational skills with the ability to prioritise tasks and manage time effectively.
- Excellent communication skills, both verbal and written, to effectively liaise with team members and stakeholders.
- Proficient in MS Office Suite (Word, Excel, PowerPoint) and familiarity with office management software.
- Ability to handle confidential information with discretion and integrity.
- Self-motivated and able to work independently as well as part of a team.
- Knowledge of health and safety regulations relevant to office environments is a plus.
