We offer UK employees a 3:2 hybrid working arrangement: Tuesdays, Thursdays and a third day of choice are in‑office; the remaining two days may be worked from home.

Background

This role sits within the HR Strategy & Operations team, reporting to the HR Operations Manager and working alongside another HR Assistant. It provides essential operational and administrative support to employees and managers across the business, partnering closely with HR Advisors, Operations, Business Partners and specialist areas. The position offers exposure to recruitment and L&D support, making it ideal for someone with prior HR operations experience who wishes to grow in these areas.

Key Responsibilities

  • Recruitment & Onboarding
    • Support recruitment campaigns, distribution of online assessments and employer branding initiatives when required.
    • Assist the recruiter with the creation of job postings and update candidate details and statuses in Workday.
    • Coordinate interview scheduling across multiple stakeholders and manage room bookings.
    • Drive the new joiner process: prepare contracts, manage onboarding trackers, send first‑day emails, collect employee data, issue new joiner packs, vet new staff and create employee files, ensuring accurate data entry into Workday.
    • Efficiently onboard contingent workers into Workday.
    • Deliver new joiner inductions.
    • Monitor probation periods and ensure timely completion of reviews, escalating concerns to the HR Advisor as required.
  • L&D
    • Provide first‑line guidance to employees and managers on all L&D queries.
    • Support HR leadership in sourcing L&D suppliers and scheduling courses.
    • Manage professional qualification requests and processing.
    • Coordinate events such as Insights Week and Network events.
    • Process all L&D and recruitment related invoices.
  • Data Management & Payroll Support
    • Accurately input and maintain employee data across HR systems for new starters, leavers and internal moves.
    • Ensure all records are updated accurately ahead of payroll deadlines, undertaking payroll input with appropriate oversight.
    • Maintain high‑quality employee records and file documentation appropriately on SharePoint.
  • Workday & Systems Support
    • Act as a point of contact for Workday queries, providing support to employees and the HR team.
    • Run routine reports and support ongoing data quality efforts, escalating more complex configuration or troubleshooting needs.
    • Identify opportunities to streamline repeatable processes and contribute to the development of templates and simple automation where appropriate.
  • Additional Support
    • Provide cover for the other HR Assistant, handling routine queries and escalating as needed.
    • Support SMCR processes when required, including record‑keeping, tracking attestations and maintaining accurate role data.
    • Assist with invoice processing across the wider HR team.
    • Continuously seek opportunities to make the HR team more agile, focusing on streamlining processes to improve candidate and employee experience.
    • Contribute to HR project work as required.

Desired Skills / Experience

  • Some previous experience in an HR administration or operations role, ideally within a professional or regulated environment.
  • Previous experience in recruitment and L&D is advantageous.
  • Strong organisational skills and proven ability to manage multiple activities while maintaining attention to detail.
  • Ability to prioritise effectively and meet tight deadlines.
  • Confidence navigating HR systems; Workday experience is highly desirable.
  • Excellent written and verbal communication skills, with a professional and diplomatic approach.
  • Strong sense of ownership and judgement in resolving issues independently or escalating appropriately.
  • Proactive, solutions‑focused mindset with an interest in refining processes and improving workflow.
  • Collaborative team player with the ability to build effective working relationships across HR and the wider business.
