As an Executive Assistant, you play an essential role in keeping the team organised and operating effectively. Reporting to the Office Manager and Regional Head of the Specialised and Asset Finance division, you proactively anticipate the needs of the executives you support, exercising good judgement, discretion, and flexibility in your approach. You provide comprehensive administrative and secretarial assistance, including diary and travel management, expense reporting, and meeting coordination for both internal and external stakeholders. You assist with onboarding new starters and transfers, liaising with in-house services such as Tech Assist and People and Culture. Supporting a Senior Managing Director, you help manage weekly and monthly tasks related to the Senior Managers Regime, organise group Town Halls, and monitor follow-up actions. You have the opportunity to work on a variety of events and functions, providing on-site support to ensure smooth delivery and representing Macquarie to the highest standard.
What You Offer
- At least 3 years of experience in a similar executive assistant role within an international organisation
- Confidence in working with senior-level colleagues across different offices and time zones
- Exceptional communication skills
- Excellent time management and organisational abilities
- Proficiency in Word, PowerPoint, and Outlook
- Experience with expense management and reporting systems such as Concur and Coupa
- Ability to manage conflicting priorities and multi-task in a fast-paced environment
