NHS Jobs is seeking a dedicated Pharmacy Procurement Assistant to join our team in Chertsey. This role involves managing pharmaceutical orders and ensuring the continuous supply of medicines to patients. The successful candidate will be responsible for various procurement tasks, supporting the Pharmacy Procurement Manager, and handling administrative duties efficiently.
Key Responsibilities
- Order Processing
- Process pharmaceutical orders twice daily using the Ascribe system (EMIS Health Pharmacy).
- Ensure orders align with request sheets from the Dispensary and Distribution teams.
- Follow local procedures and audit requirements to maintain the uninterrupted supply of medicines.
- Procure urgently required and unlicensed drugs in the absence of the Purchasing Manager.
- Assist with basic pharmaceutical purchasing in line with Standard Operating Procedures (SOPs).
- Handle invoice processing for payment, ensuring adherence to lead times and legal requirements as per SOPs.
- Answer telephone calls, liaise with suppliers, handle routine queries, and forward more complex queries to senior colleagues when necessary.
- Manage administrative tasks such as filing purchase order paperwork, electronic filing on the shared drive, and scanning and emailing purchase orders.
Qualifications and Skills
- Must have a keen eye for detail to ensure accurate order processing and compliance with procedures.
- Excellent verbal and written communication skills for effective interaction with suppliers and colleagues.
- Strong organizational skills to manage multiple tasks and maintain orderly records.
- Familiarity with the Ascribe system (EMIS Health Pharmacy) or similar pharmacy procurement systems is preferred.
