Are you passionate about Pharmacy Stores and Distribution and seeking a new challenge? Join our team as a Pharmacy Stores Coordinator at Nottingham University Hospitals NHS Trust! The successful candidate will support the delivery of a safe and efficient service at the Queen’s Medical Centre (QMC) campus. You will manage the receipt and stock control of medicines for both internal and external customers. Excellent communication and organization skills are essential. In the absence of the Lead Pharmacy Technician, you will also deputize in all areas of the Stores service. We welcome applications from enthusiastic Pharmacy Technicians and experienced Pharmacy Technical Officers (ATOs). Specific training will be provided to help develop your skills.

Main Duties of the Job

  • Supervising and coordinating the daily receiving processes for internal and external customers efficiently and safely.
  • Participating in the validation and checking of all goods before they leave the Pharmacy Store.
  • Understanding the role in detail by reviewing the accompanying Job Description and Person Specification documents.

Job Description Responsibilities

  • Supervise daily receiving processes for internal and external customers according to schedules and standard operating procedures (SOP).
  • Maintain a work system that identifies and resolves stock problems within your authority.
  • Address customer inquiries and complaints appropriately within your authority.
  • Participate in the checking of all medicines and sundries assembled by other Pharmacy Stores staff.
  • Ensure accurate and timely documentation and costing of all electronic and paper-based orders.
  • Check all types of emergency boxes and participate in compiling departmental schedules, including evening, weekend, and bank holiday rotas.
  • Adhere to hospital and departmental policies and procedures, including health and safety, COSHH, manual handling, and security.
  • Assist the Lead Technician in Pharmacy Governance processes and the investigation of MHRA alerts, implementing or amending processes as necessary.
  • Assist in organizing both rolling and annual stock-takes and ensure commitments are maintained in the Lead Technician’s absence.
  • Contribute to service development and improvement within Pharmacy Stores and the wider Pharmacy department.
  • Maintain effective communication within the Pharmacy department and multi-disciplinary teams.
  • Follow departmental SOPs and report any discrepancies to the Lead Technician.
  • Participate in your own Continual Professional Development and departmental personal development plans.
  • Work flexible shifts, including evenings, weekends, and bank holidays, at the City Hospital or Queen’s Medical Centre campus sites.

Person Specification

Training & Qualifications

  • NVQ Level 2 in Pharmaceutical Services with substantial additional experience equivalent to NVQ3; or NVQ 3 Pharmacy Services (or equivalent).

Experience

  • Essential: Previous Pharmacy experience, including stock management and using electronic systems for labelling and stock management. Ability to work effectively in a productive team.
  • Desirable: Previous experience working in a Pharmacy Stores environment.

Communication and Relationship Skills

  • Essential: Clear verbal and written communication skills. Good telephone manner and polite face-to-face interactions. Ability to integrate into a multidisciplinary team. Willingness and approachability.

Analytical and Judgement Skills

  • Essential: Ability to evaluate circumstances and make well-judged decisions, knowing when to refer. Knowledge of own limitations. Initiative in solving problems. Ability to work accurately and maintain concentration over varying periods.

Planning and Organisation Skills

  • Essential: Ability to work on own initiative and manage time to meet deadlines. Proven skills in organizing and supervising staff. Ability to prioritize workloads effectively.

Physical Skills

  • Essential: Light physical effort required frequently; moderate physical effort (e.g., pushing trolleys) may be required occasionally. Ability to sit for long periods using IT equipment or stand for long periods in dispensaries. Lifting, bending, and stretching as necessary.
