Overview Our client is offering an exciting opportunity for a Temporary Executive Support Administrator to join their Operations team on a fixed-term contract. This role is based in Jersey and requires an individual who is keen to support business priorities for Partners and Directors across the Channel Islands. The position involves working full-time, with contracted hours of 37.5 per week. The successful candidate will be an integral part of the wider Executive Support team, contributing significantly to the success of the organisation. Job Duties
Provide transactional support to organise client or internal meetings and manage existing calendar invites.
Research and book travel requests, including preparation of itineraries for complex travel requirements (e.g., visas, accommodation, flights, taxis).
Manage stakeholder meetings, including preparing briefing notes, slides, and attendee bios and attending meetings to produce minutes, transcribe recorded meetings, and create follow-up actions.
Prepare and format internal and external documents to comply with branding guidelines, working closely with the relevant stakeholders.
Maintain the firm\'s Client Records Management system as required.
Manage the room booking system and resolve booking conflicts.
Draft and monitor stakeholder mailboxes, engaging with stakeholders on issues requiring additional decision-making.
Ensure timely completion of timesheets by you and your assigned Engagement Leaders, adhering to firm policies.
Ensure compliance training is completed in a timely manner, allocating adequate time in Engagement Leaders\' diaries.
Coordinate events by providing logistical support for internal and external meetings, training, and events.
Assist with general office queries as needed, including photocopying, binding, scanning, and laminating.
Take minutes and transcribe notes during stakeholder meetings, circulating recorded notes and following up on action points.
Support stakeholders with managing social media accounts to enhance marketing campaigns.
Prepare expenses and invoice claims, ensuring compliance with expense policies.
Engage and support firmwide initiatives, such as participation in CSR, Sports and Social, and Health & Wellbeing events.
Provide additional support to Senior Managers/Managers and assist during busy periods.
Job Requirements
Must hold entitled\' or entitled to work\' status; work permits are not provided for this role.
Proficiency with desktop applications, particularly in the Microsoft Suite (Mail, Sheets, Docs, and Slides) is desirable; willingness to learn is essential.
Strong attention to detail and accuracy.
