Our client is seeking a Legal Secretary to work as part of a team, providing secretarial and administrative support to a designated group of professionals. This role allows the team to utilise their time more efficiently on client-related work. The position entails a standard working week of 37.5 hours, with flexible working hours between 8:30 am - 5:00 pm or 9:00 am - 5:30 pm.
Job Duties:
- Typing, transcribing, and performing other word processing tasks.
- Handling filing and correspondence duties.
- Managing telephone and conference call communications.
- Overseeing diary management.
- Checking and processing business-related expense claim forms.
- Managing files and archiving, ensuring all matter opening data is captured.
- Assisting with conflict checks.
- Booking meeting rooms, equipment, and catering.
- Collaborating with Marketing & Business Development (M&BD) to provide a range of administrative support as requested.
- Checking and proofreading documents and making necessary amendments.
- Assisting in the creation of new clients/matters on the Document Management (DM) system.
- Adding partner contacts to the CRM system, ensuring data accuracy and profiling of contacts.
- Updating partner marketing & business development activities within the contacts list.
- Maintaining and updating contacts on LinkedIn.
- Ensuring partners regularly review and update their biographies, passing amendments to the M&BD team for website updates.
- Keeping LinkedIn profiles current.
Job Requirements:
- Educated to A-Level standard (or equivalent).
- Previous experience in some or all of the above duties.
- Proficiency in MS Office applications.
- Good typing speeds and accuracy are essential.
- Secretarial/administration qualifications are advantageous.
- Previous experience in a legal environment is beneficial but not essential.
