We are seeking a proactive and organised Property Management Coordinator to join our busy property management team in St Andrews. This varied role focuses on supporting the day-to-day management of a growing residential property portfolio. You'll be responsible for coordinating property administration, compliance, inspections, maintenance, tenant communication and contractor management, ensuring properties are well maintained and fully compliant.

The successful candidate will play a key role in supporting tenants, landlords, contractors and colleagues while helping to deliver an efficient, professional property management service. The role also includes carrying out monthly property inspections, identifying maintenance requirements, recording findings and ensuring follow-up actions are completed promptly.

Property Management & Administration
  • Manage and respond to tenant and property enquiries professionally and efficiently.
  • Coordinate property viewings, move-ins and move-outs.
  • Conduct and support monthly property inspections, ensuring accurate records are maintained and maintenance issues are identified and progressed.
  • Prepare tenancy documentation, including Private Residential Tenancy (PRT) agreements and Notice to Leave (NTL) paperwork.
  • Maintain accurate property records using the property management system.
  • Liaise with landlords, tenants and contractors to ensure a high standard of customer service.
  • Arrange contractor access and ensure works are completed within agreed timescales.
Compliance & Property Coordination
  • Schedule and monitor statutory safety inspections, servicing and certification renewals, including Fire Risk Assessments (FRAs).
  • Coordinate servicing of heating systems, iMist systems, smoke vents and fire-fighting equipment.
  • Monitor HMO and Short-Term Let licence renewals and compliance deadlines.
  • Manage weekly and monthly fire testing records.
  • Support the continual improvement of property management processes and procedures.

Previous experience within property management, lettings, estate agency, facilities management or a similar administrative role is required. Strong IT skills, including Microsoft Office (particularly Excel); experience using property management software would be advantageous. The confidence to communicate with tenants, landlords and contractors at all levels is essential. Experience within the property sector would be advantageous but is not essential. A full UK driving licence is required.
