Hey, Iâm Safwaan â I started Talking Heads after spending years working with some of the biggest names in YouTube â including Ali Abdaal, Max Fosh, Colin & Samir, Nischa and more.
I saw firstâhand how much impact strong titles and thumbnails + big video ideas can create viral videos and I wanted to bring that same magic to other entrepreneurs and creators.
At Talking Heads, we help clients grow their YouTube channels by producing highâquality videos that donât just look great â they actually build loyal audiences. Our current team of 6 people manages everything from strategy and creative direction to production and delivery. We care deeply about craft, consistency, and people â both our clients and our team.
Weâre looking for a YouTube Agency Operations & Project Manager â someone who loves order, structure, and getting things done. Youâll be the person making sure nothing slips, everything runs on time, and our clients consistently receive amazing videos each week. Youâll bring clarity, followâthrough, and a sense of calm to a fastâmoving creative team.
Responsibilities
- đŹ Manage weekly YouTube video projects across all clients
- đ Track deadlines and ensure all deliverables are met on time
- đŹ Coordinate between editors, strategists, and clients for smooth execution
- đ§ Review and approve final videos before delivery to maintain quality
- âď¸ Build and refine internal systems and workflows in Notion
- đ Drive accountability across the team and make sure no task is left behind

You enjoy being the operational backbone â the one who keeps the machine running smoothly. Working Hours
Youâll be working fullâtime, UK hours, and ensuring our global team is moving efficiently overnight, ideally from 09:30 AM to 18:30 PM UK time with some flexibility.
To excel in this role, you need:
- â 3+ years of experience in project management
- â Exceptional organization and punctuality
- â Comfortable driving accountability and following up with team members
- â Clear communicator (written and video)
- â Takes full ownership of tasks and delivers without micromanagement
- â Strong attention to detail when reviewing video content
- â Genuine interest in YouTube and the creator economy
Brownie points for:
- â Strategic thinking skills
- â Experience in clientâfacing roles
- â Scriptwriting experience
- â Previous experience as a Personal Assistant
- â Previous experience in YouTube
- â Previous experience with Premiere Pro or Photoshop
