The Executive Assistant supports the Chief Legal Counsel, International, the SVP, Legal and Business Affairs (Intl. Networks) and the VP, Legal and Business Affairs (Hayu).
RESPONSIBILITIES
- Calendar & Diary Management: Busy diary management across multiple time zones. Schedule and prioritise meetings, appointments and events. Anticipate clashes and ensure executives are prepared.
- Travel & Expenses: Organise international travel, including flights, hotels, visas and transfers. Prepare detailed itineraries and manage last‑minute changes. Prepare expense claims.
- Communication & Gatekeeping: Act as the first point of contact for internal and external stakeholders. Draft responses and act as a professional gatekeeper to protect the executive’s time. Liaise with offices of visiting execs to ensure all logistics run smoothly.
- Meetings & Event Support: Prepare agendas and presentations. Coordinate logistics for Quarterly events. Take actions, distribute notes and track actions.
- Document Management: Edit and format various documents (including track changes) and PowerPoint presentations. Maintain effective online filing systems, including emails and team distribution lists. Safeguard sensitive information and ensure accuracy.
- Financial & Administrative Support: Raise Purchase Orders – liaising with vendors and finance as needed. Process invoices – liaising with vendors and finance as needed.
ABOUT YOU
- Extensive experience in an executive support role providing support to multiple executives at a fast‑paced company.
- Self‑motivated, organised, with a proven ability to prioritise and multitask.
- A calm and professional manner.
- A proactive and flexible attitude.
- Strong communication skills.
- Proficient in Microsoft Word, Outlook, PowerPoint, and Excel.
