The ideal candidate will assist in administrative tasks to ensure timely updating system of Purchase Orders, while maintaining accurate records.Responsibilities include:Manage and process purchase orders while maintaining accurate procurement records in internal systems.Communicate directly with suppliers to resolve queries, confirm order details, and ensure delivery timelines are met.Keep supplier information up to date and input agreed pricing details into purchase orders for complete accuracy.Monitor the status of all purchase orders, flagging and escalating delays to keep operations on track.Set up Return to Supplier sales orders for any rejected goods, ensuring smooth reverse logistics.Keep detailed records of supplier quality reports by updating and maintaining the Claims Log in Excel.Assist with invoice matching and work closely with finance and suppliers to resolve any discrepancies.Collaborate across internal departments to resolve issues with packing lists, pricing, and order accuracy.Support the procurement team by organizing and maintaining purchase order files and documentation.Be the backbone of efficient supplier coordination, helping ensure every order is tracked, accurate, and delivered on time.Experience we look for:EssentialPrevious experience in Fresh Produce procurement, purchasing, or administrative support.Strong organizational and multitasking skills.Proficiency at Intermittent level of Microsoft Excel, Outlook.Attention to detail and a high level of accuracy in data entry and documentation.Ability to work independently and as part of a team.DesirablePrevious background of Fresh Produce Industry Purchase Order Entries.Experience with Prophet ERP system.What can Westfalia Fruit offer you?Hybrid working.23 days holiday, plus bank holidays.State of the art office with fresh fruit, bean-to-cup coffee, freshly squeezed orange juice & avocado ice-cream.Free on-site parking.Company pension scheme with life insurance cover.Employee Assistance Plan with Medicash.Christmas hampers & a Christmas party.Sausage roll Thursday & pizza lunch days.
