This is a hands-on role suited to someone who thrives in a fast-paced, professional environment and is comfortable interacting with senior executives and external stakeholders. You will be responsible for managing all office facilities, front-of-house services, travel arrangements, and executive diary scheduling, in addition to broader administrative support.Reporting to the Head of People, you will be responsible for:Office Relocation & Facilities Management:• Lead the planning and execution of a new office move, including coordination with contractors, IT, vendors, and staff to ensure minimal disruption.• Liaise with landlords, building management and suppliers to ensure all facility needs are met and issues resolved promptly.• Ensure the office environment is well-maintained, safe, and compliant with health and safety regulations.• Manage office budgets related to supplies, maintenance, and utilities.Reception & Front-of-House:• Serve as the first point of contact for visitors, ensuring a professional and welcoming environment.• Oversee post and deliveries, meeting room bookings, and general front desk duties.• Maintain supplies and equipment and ensure the reception area is presentable at all times.• Ensure meeting rooms are fully prepared with necessary materials, equipment, and refreshments ahead of scheduled meetings.• Coordinate catering orders for meetings and company events, ensuring dietary requirements and preferences are met.• Oversee delivery and setup of catering services and manage post-meeting clean-up and supply restocking.• Order and maintain kitchen and pantry consumables.Executive Support:• Manage scheduling and diary coordination for the executive team, ensuring efficient meeting arrangements across time zones where necessary.• Coordinate internal and external meetings, prepare agendas, and ensure meeting rooms are set up appropriately.• Arrange domestic and international travel, including flights, accommodation, visas, and itineraries.Administrative Operations:• Develop and maintain office policies, procedures, and administrative systems to ensure operational efficiency.• Manage supplier contracts, subscriptions, and office service agreements.• Support HR team with onboarding new employees including hardware ordering, H&S induction, security passes, and office tour.• Support wider team with general administrative tasks as required.Key Requirements:• Proven experience in an Office Manager role.• Demonstrated experience in managing an office relocation.• Excellent interpersonal and communication skills; confident dealing with senior stakeholders.• Proficient in Microsoft Office Suite and diary management tools (e.g., Outlook, Teams).Who you are:• We\’re looking for a hands-on, \”sleeves rolled up\” individual who thrives in a dynamic environment and isn\’t afraid to step in wherever needed.• You are practical, resourceful, and take ownership of tasks-big or small-ensuring nothing falls through the cracks.• You will bring a can-do attitude and a strong sense of responsibility in everything you do.What We Offer:• Opportunity to be part of a fast-growing, private equity-backed company.• A dynamic, innovative, and inclusive working environment for people to shine and learn.• Competitive compensation and benefits package.• The chance to work with a talented and ambitious international team. #J-18808-Ljbffr
