Birchrose Associates is proud to be representing a leading international law firm based in the City of London, which is seeking an experienced Team Secretary to join its Intellectual Property and Trademark team.

Our client is a leading international law firm with an excellent reputation that offers a supportive working environment, with a strong focus on its people, client service and continued development.

The Opportunity
The successful Team Secretary will provide high-quality secretarial support to Senior Associates and fee earners within the firm's fast-paced Intellectual Property and Trademark team. Duties will include:

  • Manage diaries and emails for fee earners, coordinate travel arrangements and handle telephone enquiries
  • Coordinate document production and administrative support
  • Amend, format and produce agreements, legal documents and presentations
  • Collate and index legal documentation and set up files
  • Process fee-earner expenses using the internal system
  • Liaise with the Business Development, Marketing, Events and Finance teams to support team activities and business initiatives
  • Manage client onboarding, including preparing conflict checks and coordinating client due diligence
  • Open new clients and matters
  • Draft and produce engagement documentation and associated onboarding documents
  • Support the billing process by monitoring WIP, producing reports and assisting with invoice production
  • Assist with internal and external events, meetings, seminars and client hospitality, including logistics, invitations and attendance tracking

This Team Secretary position is a full-time, permanent role, working Monday to Friday 9:30am to 5:30pm.

Requirements
Previous secretarial experience within a law firm is essential.
Previous experience within an Intellectual Property or Trademark environment would be desirable.
