Our client is a prestigious private fertility and women's health clinic based in London, recognised for delivering outstanding patient care and clinical excellence.

The clinic provides a comprehensive range of fertility and reproductive health services within a highly supportive, patient-centred environment.

Due to continued growth, they are seeking an experienced Patient Care Coordinator to join their Patient Services team.

This is an excellent opportunity for someone with prior fertility clinic experience who is passionate about supporting patients through what can often be a complex and emotional treatment journey.

The Role

As a Patient Care Coordinator, you will play a vital role in guiding fertility patients through their treatment pathway from initial enquiry through to treatment coordination.

You will act as a key point of contact for patients, ensuring a seamless, compassionate, and efficient experience while liaising closely with clinicians, nurses, embryologists, and operational teams.

The successful candidate will be highly organised, patient-focused, and confident managing multiple priorities in a fast-paced clinical environment.

Key Responsibilities

  • Patient Services & Enquiries
  • Manage all new fertility enquiries via telephone, email, and online channels.
  • Provide accurate, tailored information regarding consultations and treatment options.
  • Support prospective patients through the consultation booking process.
  • Assist with patient engagement events, open evenings, and follow-up communications.
  • Contribute to initiatives aimed at improving enquiry-to-consultation conversion rates.
  • Maintain accurate records and reporting data relating to patient enquiries and bookings.
  • Fertility Treatment Coordination
  • Process fertility treatment plans received from clinicians accurately and efficiently.
  • Ensure patients receive all necessary information required to proceed with treatment.
  • Prepare and explain treatment costings and financial information.
  • Coordinate appointments with nursing, embryology, and medical teams.
  • Monitor patient treatment pathways and proactively manage cycle scheduling.
  • Liaise across multiple departments to ensure a smooth patient experience.
  • Act as a key point of contact throughout the patient's fertility journey.
  • Support patient retention and engagement initiatives.
  • Administration & Compliance
  • Maintain accurate patient records and documentation.
  • Ensure compliance with all relevant healthcare regulations, clinical governance standards, and data protection requirements.
  • Follow clinic policies, procedures, safeguarding, infection control, and health & safety protocols.
  • Participate in mandatory training and continuous professional development activities.

Essential Experience

  • Exposure working within a fertility clinic environment.
  • Previous experience coordinating fertility treatment pathways.
  • Experience working directly with patients in a healthcare or clinical setting.
  • Confident handling sensitive and confidential information.
