Legal Receptionist / Legal Administrator

My client is looking for an experienced and professional Legal Receptionist / Legal Administrator to join our team on a full-time, permanent basis.

Please do not apply if you have a law degree but no previous practical experience within a legal environment.

This is an experienced legal administration role, not a graduate position.

This is a varied role combining front-of-house reception duties with legal administration.

The successful candidate will be confident dealing with clients, managing diaries and deadlines, and providing efficient administrative support to the solicitors.

Key Responsibilities

  • Welcoming and booking in clients in a professional and friendly manner.
  • Answering incoming telephone calls and dealing with enquiries with an excellent telephone manner.
  • Managing solicitors' diaries and appointments.
  • Maintaining and managing the court diary and ensuring important dates and deadlines are accurately recorded.
  • Managing emails and correspondence.
  • Drafting letters and other routine correspondence.
  • Filing and maintaining accurate client and matter records.
  • Handling incoming and outgoing post.
  • Taking client payments and maintaining accurate records.
  • Providing general administrative and secretarial support to the solicitors.
  • Monitoring deadlines and ensuring tasks are prioritised appropriately.
  • Assisting with the smooth day-to-day running of the office.

About You

We are looking for someone who is professional, organised, calm and confident, with the ability to work independently and take responsibility for their workload.

The ideal candidate will

  • Have previous legal experience, ideally within a solicitors' firm, or strong administrative/reception experience.
  • Have an excellent telephone and client-facing manner.
  • Be confident dealing with clients and professional contacts.
  • Be highly organised with excellent attention to detail.
  • Be able to manage competing deadlines and priorities.
  • Be proficient in Microsoft Word, Excel and Microsoft Office.
  • Have good written communication skills and be confident drafting letters.
  • Be comfortable managing diaries and appointments.
  • Be able to work on their own initiative without constant supervision.
  • Be hardworking, reliable and proactive.
  • Remain calm and composed in a busy working environment.

As this is a client-facing position, the successful candidate will be smart, well-presented and professional, taking pride in their appearance and maintaining a polished and appropriate professional image at all times.

  • Full-time – 5 days per week

The successful candidate will be expected to work Monday to Friday.

Experience

Previous experience within a legal environment would be highly desirable.

Candidates with strong administrative or reception experience who can demonstrate excellent organisational, communication and client-service skills will also be considered.
