We are looking for a Personal Assistant to support our Private Client team, ensuring optimal efficiency and contributing to our tradition of excellence.

Day-to-Day of the Role

  • Provide direct support to a team of four Private Client solicitors/fee earners, alongside two other part-time secretaries.
  • Prepare correspondence and documents through audio-typing and word processing.
  • Manage daily filing and the maintenance of client files in accordance with office procedures.
  • Prepare mail and enclosures for dispatch and handle all copying needs.
  • Schedule appointments, arrange meetings, and maintain up-to-date diaries for fee earners.
  • Set up and clear conference rooms for meetings and provide refreshments as needed.
  • Offer support to other secretaries and provide guidance to junior and temporary secretaries.
  • Engage with clients both in person and over the phone in a professional and friendly manner.
  • Maintain confidentiality of all firm and client documentation and information.
  • Operate the firm's case management system and undertake online form filling requirements.
  • Continuously seek to improve the efficiency of the department and undertake additional duties as required.

Required Skills & Qualifications

  • Substantial previous legal secretarial experience, including at least 2 years in Private Client work.
  • Advanced IT skills in relevant packages and fast touch typing skills.
  • High levels of accuracy and professionalism in communication.
  • Proactive approach to work, able to progress client matters without supervision.
  • Ability to work to deadlines, cope under pressure, and effectively prioritise workloads.
  • Excellent interpersonal and communication skills, sensitive to the needs of clients during distressing times.
  • Demonstrates commitment to the firm and a genuine interest in legal work.
