We are seeking a highly organised and detail oriented Van Sales Administrator to join our dynamic team. The successful candidate will play a vital role in supporting our van sales operation - retail, SME & Fleet, ensuring the accurate and efficient processing of sales orders, while maintaining high standards of compliance and documentation. Flexibility to work on an ad-hoc basis. Accuracy, and a proactive attitude are key attributes for this position.
Based in Welham Green, Hatfield the Sales Administrator will work closely with internal teams to ensure customer needs are met efficiently, from order through to delivery and beyond. The role is office-based Monday to Friday, working hours 9.00am to 5.00pm.
Main Duties and Responsibilities:
- Order Processing: Accurately processing new and used vehicle orders, including amending specifications with the factory in Germany and building deals into internal systems for invoicing.
- Vehicle Purchasing: Purchasing used stock and part exchanges, ensuring all required checks and documentation are completed in line with company purchase procedures.
- Vehicle Registration: Registering new vehicles using the RAV system, ensuring all pre-taxation documentation is correctly completed and securely stored according to DVLA and manufacturer guidelines.
- Documentation Management: Preparing, reviewing, and managing all necessary documentation including sales and purchase invoices, registration documents, and handover forms, utilising digital deal file and archive systems.
- Stock Control: Assisting with monthly stock checks for both new and used vehicles and updating vehicle locations across internal systems to maintain accurate stock records.
- Daily Administrative Tasks: Supporting the team by completing daily reports and tasks to ensure data is accurate, current, and compliant with internal policies. Flexibility to support ad-hoc tasks as required.
Skills:
- Experience in an administrative or sales support role, preferably within the motor or commercial vehicle industry.
- Strong organisational and time management skills.
- Excellent attention to detail and accuracy.
- Strong communication skills, both verbal and written.
- Ability to work independently and as part of a team.
- Proficient in Microsoft Office applications (Word, Excel, Outlook).
- Familiarity with DVLA systems and vehicle registration processes.
