JOB PURPOSE

To provide high quality business support, management information, and administrative functions to support the service.

KEY RESULT AREAS

  1. Responsible for the operation and maintenance of all elements of financial systems. To ensure adherence to all relevant policies, procedures and guidelines.
  1. Responsible for identifying and recovering any overpayments made, with autonomy to agree payment plans within an agreed framework.
  1. To ensure goods and services are acquired via agreed methods of procurement.
  1. Responsible for making payments using a Newport City Council credit card, in line with NCC policies and procedures.
  1. To manage, maintain and verify performance information using systems, including information analysis, and production and dissemination of reports.
  1. To communicate with partner agencies, colleagues and management to provide information, help and advice.
  1. To be a first point of contact for teams within the service, to provide information and guidance, and to resolve queries to support the efficient operation of the teams.
  1. To make all arrangements for meetings, including production of accurate minutes, recording decisions made and carrying out associated tasks, as agreed with management.
  1. To support and assist with service projects.
  1. To safeguard essential IT equipment, corporate accounts and security of data, and to comply with relevant corporate policies.
  2. Undertake other specific duties in line with the requirements of the service area.

Qualifications

  • Educated to A Level standard or equivalent, or substantial and relevant administrative experience working in an office environment
  • CLAIT, ECDL, or qualified by experience

Knowledge

  • Knowledge of standard computer software including word processing, spreadsheets, emails
  • Knowledge of Data Protection principles
  • Knowledge and understanding of Social Services

Experience

  • Previous administrative or financial experience within an office environment.
  • Proven experience of taking minutes at meetings
  • Able to demonstrate excellent IT skills, and experience of using Microsoft Office in a business environment
  • Experience of working with finance by making payments, or inputting or analysing financial information
  • Experience of working in a local government / Social Services environment
  • Experience of using Microsoft Office within a business environment
