Overview of Job Description
To lead the forecasting of staffing requirements against PRS volumes and flight schedules, ensuring resource levels are accurately planned and deployed in line with operational demand. The jobholder will ensure the effective rostering of all team members to meet operational demand using reporting and data analysis, and forward plan to identify improvements to coverage and operational efficiency.
Main Duties & Responsibilities
- Oversee and manage roster planning across all terminals, adjusting workforce allocations to align with fluctuating PRS requirements and maintain optimal service delivery.
- Provide the most effective and efficient planning and rostering available to match business requirements, optimising performance.
- Provide a forecast of passenger numbers and flight volumes to manage the resource rosters within peak months alongside headcount budgets.
- Identify, proactively review and implement required changes to shift patterns and floorplans in response to operational demands.
- Act as the key liaison between Recruitment, Vetting and Training teams to ensure staffing levels are effectively planned, onboarded and maintained.
- Manage relationships with external agency partners to support surges in workforce requirements during peak periods, including creating and overseeing high demand rosters.
- Ensure all Airport Authority Service Level Agreements are met and the standards of service carried out meet the Company Quality Standards, taking appropriate action to amend resource coverage where standards are not met.
- Create rosters for all resources to best fit the planned demand in advance, ensuring rosters are fair and balanced in skill sets and available to view a minimum of 30 days ahead.
- Review schedules and understand airline changes, identify new peaks in operational demand and trend failures in service to plan ahead for resource needs.
- Produce and present Lookahead analysis, including PRS volume versus resource forecasting to support strategic workforce planning.
- Interpret data and analyse results, demonstrating a high level of understanding of workforce management software and reporting tools (such as Inform, PowerBI, Find My Shift).
- Coordinate with the Vetting team to ensure timely creation and management of required identification passes for new and existing staff.
Reporting
- Oversee and manage the Payroll Coordinator team to ensure accuracy across all systems relating to working hours, overtime, absences, leavers, reporting and flexible working adjustments.
- Produce weekly and monthly sick/absenteeism reports.
- Oversee the authorisation of annual leave in line with operational targets, report on annual holiday balances to operational teams and ensure appropriate operational coverage.
- Report changes in schedules that will impact operational performance.
People Management
- Lead and manage the staff support team and payroll coordinators to ensure daily resource plans are prepared in line with operational requirements.
- Build relationships and work collaboratively with cross functional teams, schedulers, external partners and operational management.
- Lead the team effectively during operational changes, ensuring clear communication and continuity of service.
- Undertake any additional reasonable duties as requested by your line manager.
Person Specification
Required Experience and Skills
- Strong Excel skills, including the use of formulas, data analysis and reporting to support workforce planning and forecasting.
- Good IT skills, with the ability to use workforce management systems to support operational decisions.
- Previous experience of working in a similar role is desirable.
- Capable of making sound decisions quickly, particularly in high pressure or time sensitive situations.
- Must have the right to work in the UK, pass a DBS check, provide 5 years reference information and be over 18 years of age.
- This is a site based position working from on site to ensure close collaboration with operational teams.
- Core hours are Monday to Friday, 08:30 to 17:00.
- Flexibility to provide occasional out of hours support during peak operational periods or business critical incidents and a requirement to attend cross terminal meetings.
