To provide proactive and professional support to the Risk Advisory Services group. Services will be delivered consistently with the competitive environment in which the firm operates and will involve a team working approach, collaborating with lawyers and other members of business operations. The role may include support for staff from more than one business unit, with structure and responsibilities evolving over time.
Responsibilities:
- Maintain the filing system (paper and email based), ensuring all files are kept up to date.
- Set up and maintain new filing systems, print matter related emails on request, and archive/retrieve files and deeds from storage.
- Assist other members of the Practice Group with overflow work.
- Collate and prepare information for meetings, both internal and external, and produce and circulate agendas and itineraries.
- Take and relay messages, ensuring lawyers and clients receive them promptly, especially when they are out of the office.
- Help manage fee earner electronic schedules, arrange meetings/appointments and lunches both internally and externally, and liaise with reception to ensure all room bookings and hospitality requirements are met.
- Update lawyers' client contact databases.
- Assist Legal PAs and Business Development with preparation and sending out brochures to prospective clients and manage interface with the Marketing Group, including provision of contacts for seminars.
- Assist Legal PAs with travel and accommodation arrangements for local, national and international travel, ensuring cost effective solutions that meet the team's requirements.
- Answer incoming telephone calls in a professional manner and deal with enquiries from internal and external callers.
- Remain aware that you are the 'face of the firm' and the first point of call for potential new instructions.
